Summary
The Office Specialist position covers a broad range of skilled administrative tasks under the supervision of the City Clerk. This position provides high level support for City Council meetings in several areas; coordinates City board and commission recruitments and tracking of required training and other documentation; maintains official files; prepares documents for recording and reconciles invoices; and acts as a liaison with all City departments, among other responsibilities. A high degree of professionalism and confidentiality, as well as excellent interpersonal skills and organizational talent, is expected. Prior experience in a government setting is desirable.
Knowledge, skills and abilities include:
Knowledge of general office administration procedures, concepts and automation applications; basic filing and recordkeeping practices; written business communication/report writing techniques; database management skills; basic mathematical computations; in person and telephone customer service and public relations; problem solving, organization and planning; attention to detail and accuracy; using office equipment such as phones, copiers fax machines and multi-line telephones.
This is a temporary, full-time benefit eligible position with an anticipated end date of December 31, 2020.
Minimum Qualifications
High school diploma or GED; must demonstrate intermediate computer experience and be proficient in Word (comfort and familiarity with Excel and other software programs is desirable); two years of responsible administrative experience or an equivalent combination of work and education experience to perform the essential functions of the position
Hours of Work8:00 a.m. to 5:00 p.m., Monday – Friday
Working Conditions & Physical ActivitiesWork is performed in an office setting. Must be able to sit at a desk for long periods of time. Must be able to stand at copier for long periods of time. Must be able to lift up to 50 pounds. Requires filing and retrieving documents via stairs in the lower level of the building.
