The selected candidate will integrate King County's Equity and Social Justice principles into the daily functions of this position.Public Health- Seattle & King County (PHSKC) is seeking an Administrative Specialist III with COVID screening experience and previous lead administrative experience.
WHO MAY APPLY: This positions is open to external candidates as a Term-Limited Temporary assignment, and open to King County Career Service employees as a Special Duty Assignment. To be considered for a Special Duty, you must be a current King County Career Service employee who has successfully passed probation.
WORK LOCATION: This position will be required to work on-site at the Downtown Public Health Center- located at 2124 4th Ave in Seattle, WA. PPE will be provided.
WORK SCHEDULE: The regular hours for this position are Monday through Friday, 8:00 am to 5:00 pm- 40 hours per week. This Term Limited Temporary or Special Duty opportunity is anticipated to last for seven months and end in June 2021. - Job Duties
- Leading clerical and/or oversight COVID office coordination under limited supervision.
- Researching COVID information as appropriate, providing COVID information to patients
- Dealing with sensitive and/or potentially volatile situations.
- Distributing work to other COVID administrative employees
- Working closely with the Personal Health Services Supervisor (COVID Nurse Supervisor)
- Leading administrative staff
- Registering COVID patients, performing initial COVID screening
- Making COVID negative results calls- as needed
- Keeping track of attendance and leave requests for PHSS
- Ensuring administrative staff breaks are covered by team
- Maintain the COVID schedule for PHSS
- Process invoices by using Oracle and will have a P-Card
- Stocking, ordering and auditing all inventory supplies
- Will be the runner for the team, going up and down stairs to re-stock outside supplies as they run out, with or without reasonable accommodation
- Attending Downtown COVID Administrative Operations monthly meetings as needed
- Communicating clinical concerns to staff
- Attending huddle and communicating updates appropriately
- Supporting clinical team in responding to clinical emergencies per guidelines, and notifying COVID clinical staff of any suspected emergency situations
- Recognizing the need for a warm transfer to a nurse during a COVID telephone interaction with a caller
- Coordinating assembling COVID kits, flyers and lab req's for the next test day
- Participating in clinic safety committee and process improvement, as appropriate
- Taking Minutes at meetings
- Contact between PHLab and PHSS on discrepancies
- Responding to on site requests from patients for testing results, adhering to ROI protocols
- Epic superuser, Apollo superuser and trainer for new admin staff
- Precepting & onboarding of new staff as appropriate
- Other duties as assigned

- Demonstrated experience as a COVID screener
- Demonstrated experience as an administrative lead in a healthcare setting
- Must be comfortable walking/standing for several hours outside in the cold weather (Winter/Spring)
- Knowledge of HIPAA and ROI protocols
- Knowledge of Epic and Apollo
- Knowledge of general office policies, principles and practices
- Knowledge of software applications and word processing skills relative to the position assignment
- Ability to deliver supplies to staff between floors with or without reasonable accommodation
- Knowledge of appropriate physical standards for computer work, including appropriate seating and arm and/or wrist usage
