- Summary
We are seeking a skilled Administrative Specialist II to provide a wide variety of administrative support to the Parks Community Investments and Engagement Section in the Parks and Recreation Division. This section has approximately 20 staff members and together we lead communications, support community engagement, and administer over $100 million in grants. The primary duties of this position include performing clerical office functions, working independently, prioritizing work assignments and ensuring tasks are completed in a timely and efficient manner.
Our ideal candidate will be highly organized and detail-oriented, with the ability to manage time wisely while balancing multiple priorities. We seek a candidate who is a versatile learner with excellent communication and customer service skills.

Telecommuting Requirement
The work associated with this position will be performed predominantly by telecommuting, with occasional onsite work and meetings, as influenced by business needs. Employees will have access to shared workspaces at various King County facilities.
Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required by the department in alignment with the Public Health Directive from the Seattle & King County Public Health Officer. Work Location: Primarily teleworking and the King Street Center 201 S. Jackson St., Seattle WA 98104
Work Schedule: This position is covered under the provisions of the Fair Labor Standards Act (FLSA) and is overtime eligible. This full-time position works a 40-hour work week.- Job Duties
Key Job Duties:
Administrative Support- Provide administrative support to internal and external customers/stakeholders, which includes managers, supervisors, co-workers, external customers, and the public.
- Respond to incoming requests for the Section Manager and Community Investments Manager.
- Coordinate responses to public inquiries as appropriate.
- Manage and track assignments to meet deadlines.
- Prepare, proofread, and finalize documentation including meeting notes, correspondence, presentations, workflows, and workplans.
- Participate in and take notes at various internal and external meetings, hearings, and events.
- Serve as section’s Electronic Records Coordinator responsible for managing electronic records according to established protocols and retention schedules.
- Maintain security and confidentiality of highly sensitive communications and information in all forms (written, verbal and electronic), all related information and documents including files and records.
- Develop and manage systems for filing, communication, and documentation (SharePoint, Teams, OneDrive).
- Apply an Equity and Social Justice lens to all actions, processes, and decisions.
- Manage section calendar including scheduling meetings and appointments, managing videoconferencing requirements, developing meeting materials, and reserving rooms and equipment.
- Maintain security and confidentiality of highly sensitive communications and information in all forms (written, verbal and electronic). Manage section business needs such as processing requests for office supplies and equipment, travel and training, printing and copying, and signage production. Ensure the necessary approvals are secured and coordinate purchases.
- Manage inventory of trail maps, giveaways, and marketing materials. Coordinate distribution to outside partners as well as at community events.
- Build and manage section systems for filing, communication, and documentation (SharePoint, Teams, OneDrive).
- Ability to travel to the office 1-2 times per week as needed to support efficient section operations.

Required Qualifications:
- Three years of experience providing administrative, technical, and customer service support functions in support of a person or team.
- Solid organizational skills including ability to work on multiple projects simultaneously and to complete projects within deadlines.
- Attention to detail, ability to multitask, strong analytical skills, effective problem-solving abilities, and time management skills.
- Ability to maintain confidentiality and use discretion when handling sensitive information.
- Proficiency with the Microsoft Office 365 Suite.
- Experience supporting a virtual teamwork environment.
- Expertise in creating, proofreading, and formatting documents according to standard business writing practices and approved agency style guides.
The Most Competitive Candidates Will Have:- Experience navigating large or complex organizations.
- Track record of working independently as well as collaboratively.
