Summary

In order to hire and maintain a quality workforce that reflects the diversity of the community and works well within our True North values-based organization, the Permitting Division of the Department of Local Services (DLS) is accepting applications for the position of Administrative Specialist II 
   
 The person in this role interacts with customers to provide and process information in response to inquiries, concerns and requests about the Department's permitting process and services in particular and other King County services in general.  The Administrative Specialist II will be part of a support staff team in the Permit Center and provide administrative support to the Department's public service functions.

The candidate will earn trust, respect, and support from their co-workers by sharing responsibility and accountability. The candidate will build effective customer relationships by attentive and active listening, and consistent problem solving, with prompt and effective follow-up on issues as they arise.
 

Job Duties

  • Provide customer assistance and support with Permitting record requests.  
  • Administrative permit record processing work including file management, digitization and permit tracking.
  • General administrative duties as assigned.
  • Provide support for customer inquires and general assistance.
  • Problem solve and research with limited guidance and have a sense of urgency in situations that require a quick turnaround while providing exceptional customer service to all stakeholders in person, on the phone, and via mail     

Experience, Qualifications, Knowledge, Skills

  • Customer service experience with the public.
  • Excellent interpersonal and customer service skills with demonstrated ability to positively interact with a variety of people in a diverse work environment.
  • Effective listening skills and the ability to deal courteously, professionally and tactfully with the public.
  • Demonstrated ability to be flexible and accommodate changing priorities.
  • Demonstrated skill to handle multiple tasks and prioritize work on a daily basis.
  • Some keyboarding skills and proficiency in a variety of software programs, including MS Word, Excel and Outlook.
  • Demonstrated skill at working independently as well as an effective team member.
  • Must be able to read, write, and speak the English language, and have knowledge of proper grammar and spelling.
  • Demonstrated punctuality, dependability and excellent work attendance.
  • Ability to provide customer service support via phone and email and translate information from technical terms to terms easily understood by a diverse customer base.
  • Exceptional organization skills with superior attention to details and accurate work output
  • Demonstrated experience with fulfilling requests for records and research practices.  
Desired Qualifications:
  • Familiarity with the permit processing and terminology
  • Knowledge of records management practices, inventory control and record retention techniques and principles
  • Experience with Microsoft Teams, Microsoft Dynamics CRM and SharePoint
NECESSARY SPECIAL REQUIREMENTS:
  • Must be able to lift and carry 30 pounds including large rolled plans.

Supplemental Information

This recruitment will be used to fill special duty assignment (SDA) or term-limited temporary (TLT) positions. As with Career Service and SDA positions, the TLT positions will have full benefits.
  
 This recruitment may be used to create an eligibility list for future Administrative Specialist II Career Service, TLT, and SDA vacancies. Lists may be active up to 6 months at the discretion of the hiring authority.

WHO MAY APPLY: This full-time position may be filled as Term Limited Temporary (TLT), and is open to all qualified applicants, or Special Duty assignment for current King County Career Service employees who have passed their probationary period.  Current King County employees must have permission from their supervisor to be eligible for the Special Duty assignment.
 
 Pay upon SDA placement: Current employees selected for SDA will be compensated based on the provisions of the Collective Bargaining Agreement or Master Labor Agreement for their base assignment if applicable.

  • SDAs are open to current King County career service or appointed employees who have passed their initial probationary period. 
  • Career Service and TLTs are open to all King County employees and the general public.
 
WORK SCHEDULE: The work week is normally Monday through Friday, 7:30 a.m. to 4:00 p.m., but may at times require work outside of normal business hours and/or on weekends. This full-time position is overtime eligible.

Teleworking Requirement: 
The work associated with this position will be performed predominantly by teleworking; complemented with onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities.)  Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
  
 Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required, including the wearing of masks in some situations. King County is doing its part to reduce the spread of COVID-19 and remains committed to reducing our carbon footprint.
