Position Summary
The Administrative Specialist II for the Nurse-Family Partnership (NFP) program at Downtown Public Health will provide administrative support for 8 nurses and one supervisor, within the structure of a national evidence-based home visiting program. This position provides supports health care services that are provided to economically, socially and culturally diverse first-time parents. The person in this position will interact with client data from the time the referral is received until the family graduates (possibly a 2.5-year time frame). The Administrative Specialist II in the NFP program is expected to consistently maintain quality data and excellent customer service.

Work Schedule
Monday through Friday, 8:00 am to 4:30 pm, 40 hours per week. This position is Non-Exempt and subject to the provisions of the Fair Labor Standards Act.

Work Location
Work is performed fully onsite at the Downtown Public Health Center, located at 2124 4th Ave, Seattle, WA 98121.

Job Duties

  • Managing the rules and requirements of two different programs that are being run concurrently
  • Perform accurate and timely input of client data into various databases
  • Access several web portals and repositories to input and gather information.
  • Provide support to a team of eight (8) Nurses and one (1) Supervisor
  • Provide "no wrong door" customer service via telephone
  • Manage a purchasing card, balance and provide documentation for expenses.
  • Process referrals in an Electronic Health record while maintaining confidentiality and adhering to department and HIPAA regulations
  • Maintain, track and compile various types of program data and excel spreadsheets
  • Assist with preparation of monthly and quarterly reports
  • Respond to inquiries from internal and external customers in a timely manner,
  • Attend meetings and take minutes for later distribution
  • Manage assembly of NFP materials such as handouts, packets and flyers etc...
  • Manage inventory control for NFP supplies and equipment and order as needed
  • Administrative support for fleet vehicles
  • Drive fleet vehicles

Experience, Qualifications, Knowledge, Skills



Our ideal candidate will demonstrate the following (Minimum):
  • Experience with the Microsoft Suite, computer skills and demonstrated ability to work in databases and electronic health records.
  • Willingness to provide support to providers who dispense Emergency Contraception and provide Options Counseling
  • Demonstrated ability to handle confidential information with discretion
  • Excellent customer service skills or precursors to do so. Lived experience working with or in the target population is considered.
  • Experience working with pregnant and parenting families and children
  • Valid WA State Driver License is required
