Summary



King County Metro Transit has an exciting opportunity for an Administrative Specialist III position to support workgroups within the Capital Planning and Portfolio Management Section in the Capital Division. This position supports the development of specialized technical capital projects ranging from transit passenger facilities to electrification of Metro's bus fleet.

This is an exciting opportunity for a detail-oriented and collaborative individual to use their organizational and administrative skills to support planning and portfolio management teams. The ideal candidates enjoy making an impact through administrative support, are highly organized, act with a sense of urgency, and can prioritize tasks effectively. Duties will include calendar management, scheduling meetings, taking meeting minutes, securing approvals, purchasing, and reconciling expenses. These duties are performed in collaboration with an administrative team, often with short deadlines, and with the broad understanding and application of policies and procedures.

This Administrative Specialist III role supports the growth of King County Metro Transit as we expand service to serve our community where needs are the greatest. This recruitment will be used to fill one (1) Administrative Specialist III position, in addition, this selection process may be used to generate an eligibility pool for future career service vacancies that may occur in this classification within this workgroup. The eligibility pool will be retained for 12 months from the date of posting and may be used at the discretion of the hiring authority.

Job Duties



Applying equity and social justice (ESJ) principles is a daily responsibility and a foundational expectation for all King County employees. Administrative professionals are expected to apply ESJ principes that exemplify shared values, behaviors, and practices to all aspects if the work. In th is role , you will also:
  • Deliver day-to-day administrative support to supervisors and work group staff.
  • Calendar management and availability tracking for supervisors and unit staff.
  • Attend various project related meetings, take meeting notes, and disseminate to team while following up on action items.
  • Manage meeting logistics such as presentation preparation and food ordering and assist with presentation materials.
  • Aid in the management of the unit's DocuSign approval process consistent with the divisions policies.
  • Support records retention activities in accordance with King County Records Management best practices.
  • Be responsible for creating requisitions and tracking approvals within the King County financial system (Oracle EBS) to ensure vendor payments are made timely and consistent with contract terms as applicable.
  • Organize, oversee, establish and maintain data sources that may include cont ra cts, budgets , legal documents and/or other records .
  • Work within an administrative team and provid e workload support for administrative team members.
  • Onboard new employees, which includes providing training and support through the process.
  • Admin i ster employee leaves.
  • Recommend process improvements within the section and written document of processes.
  • Scan and file documents and ensure the upkeep of filing systems.
  • Assist with computer issues and if needed, initiate and follow-up on helpdesk tickets.
  • Assist with special projects as needed
  • Process mail, ensuring timely delivery to employees within the section .
  • Support the section SharePoint s ite .
  • Support travel requests.

Experience, Qualifications, Knowledge, Skills



We are looking for candidates who possess the following minimum qualifications:
  • Increasingly responsible office o r administrative support experience with a group or team of professional or technical staff.
  • Ability to independent ly manage multiple and shifting priorities while using effective analytical, interpersonal, and communication skills .
  • Ability to work in a self-directed manner as well as part of a team in a fast-paced and collaborative environment.
  • Ability to communicate effectively and clearly, both verbally and in writing.
  • Demonstrated ability to effectively problem solve, prioritize, and apply good judgement when handling time-sensitive or highly important requests and inquiries.
  • Demonstrated ability to draft, proofread, edit, compile, and finalize letters and documents.
  • Ability to be detail- oriented , organized, and use initiative to solve problems.
  • Ability to establish and maintain respectful working relationships with diverse coworkers, colleagues, and internal/external customers ; ability to deal with others with tact, diplomacy, and courtesy.
  • Strong customer focus with a dedication to integrity, ethics, trust, and v a lues.
  • Basic knowledge of best practices for Records Management and/or retention policies and practices.
  • Proficiency in A dobe and Microsoft Office 365 Programs ; ability to manage emails, perform calendaring , and create presentations, spreadsheets, documents, and other items as requested .
  • Familiarity with DocuSign, Microsoft Teams and SharePoint.
  • Ability to produce high-quality work products under tight deadlines.
  • The ability to effectively work with competing requests , and a variety of personalities and communication styles.
  • Demonstrated ability to learn software applications and have a positive proactive approach to learning new and established processes.
Desirable qualifications include:
  • Familiarity and experience with King County policies and procedures .
  • Basic kn owledge of Oracle Financial system or similar financial and procurement software.
  • Experience or demonstrated skill in applying best practices to Records Management and/or retention policies and practices, especially in the public sector.
  • Expertise in leveraging technology tools, including Teams and SharePoint.

Work Schedule:

Our regular business hours are 40 hours per week, Monday through Friday. However, work outside of these hours may occasionally be required. This position is classified as non-exempt under the Fair Labor Standards Act and therefore is eligible for overtime pay. We may also consider flexible hours.

The main work site associated with this position is King Street Center, 201 S. Jackson St, Seattle WA 98104.
Telecommuting Requirement:
The work associated with these positions will be performed through a combination of teleworking and onsite work. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
