Summary
The Department of Adult & Juvenile Detention (DAJD) is accepting applications to fill one (1) Administrative Specialist Ill (Term-Limited Temporary/Special Duty Assignment) position. This position is responsible for providing administrative support to the DAJD Captains at the King County Correctional Facility (KCCF) in Seattle, Washington. The anticipated duration of this assignment is 2 years. TLT/special duty durations are subject to change and may either be extended or revoked at any time.
Please note that this position will work swing shift, 1300 to 2100 (1pm to 9pm), Saturday through Wednesday (days off Thursday/Friday). Some flexibility with hours, close to what is described above, may be possible. Candidates should indicate scheduling preferences/limitations in the supplemental questions.

WORK LOCATION: The position reports to the Department of Adult & Juvenile Detention Seattle Division Captain's Office. The office is located at KCCF, 500 Fifth Avenue in Seattle. Please note that this location is within the secure perimeter of the detention facility. The individual selected for this position may have indirect contact with inmates who are within the secure perimeter.
WORK SCHEDULE: This is a 40-hour per week, overtime-eligible position. The schedule is 1300 to 2100 (1pm to 9pm), Saturday through Wednesday (days off Thursday/Friday). Candidates must be available to work adjusted schedules on occasion, which may include weekends, days, and holidays.

Job Duties

- Serve as administrative clerical support to the Captains working in the King County Correctional Facility. Perform general office functions such as answering phones, faxing, photo copying, e-mailing, and processing/distributing/routing incoming and outgoing mail.
- Coordinate, process, and track all section documents related to operational issues, employee discipline, work projects, correspondence, legal documents, records and related files, including electronic and printed documents.
- Conduct research as required to compose basic correspondence, reports, information gathering, and composition of statistical data.
- Provide accurate and timely entry of overtime and leave usage for KCCF uniform staff.
- Organize and maintain accurate and accessible records and filing systems including electronic records and printed documents, correspondence, and related files.
- Utilizing various computer programs to maintain, update, enter, and retrieve data related to jail operations utilizing the Jail Management System (JMS), MS Word, Outlook, and Excel programs. May be asked to gather video store it for later review by Captains.
- Compose, draft summaries, prepare, proofread, and/or edit documents, reports, forms, and/or related memorandums and correspondence including distribution and filing.
- Log in and track inquiries and requests from various sources including staff, employees, prosecuting attorney's office, courts, Office of Ombud, Office of Civil Rights, and various ad hoc responses and reports. Develop and maintain tracking mechanisms and file systems to track progress and required follow up.
- Track grievances from inmates. Develop and maintain tracking mechanism and file system to track progress and required follow-up.
- Maintain security and confidentiality of highly sensitive communications, all related information, and documents including files and records.
- Attend and record meetings as needed.
- Process mail that may require attaching related correspondence or information before forwarding, respond to mail, and identify priority and time-sensitive matters.
- Perform other duties as assigned and within the scope of the job classification.
MINIMUM QUALIFICATIONS:
- Two (2) years of full-time office work experience which includes maintaining and tracking data, analysis, designing, and maintaining data sources.
- Two (2) years of full-time work experience in reception (answering phones, greeting customers).
- Strong organizational skills and ability to multi-task while working independently in a busy environment.
- Excellent written communication skills which include knowledge of proper English grammar usage, punctuation and spelling, and effective verbal communication.
- Possess a strong working knowledge of various computer applications/technologies including Word, Excel, and Outlook scheduling software.
- Three (3) years of full-time work experience serving as an administrative/executive assistant or in a similar type of position.
