Summary
The Assessment, Policy Development, & Evaluation (APDE), Chronic Disease & Injury Prevention (CDIP) & Communities of Opportunity (COO) Section of Public Health | Seattle & King County is seeking an Administrator I to join our team!
This position serves as an integral part of the administrative team and serves as a key role in supporting multiple work projects and programs within the combined sections. The Admin I will be responsible for both administrative and financial support, including scheduling, procurement, inventory, and contracts. The ideal candidate will enjoy working with diverse individuals and teams and will have strong organizational skills.

Work Schedule:
This position has a regular schedule of Monday through Friday, 8:00 a.m. to 5:00 p.m. and may be required to work outside of these hours.
The work associated with this position will be performed predominantly by teleworking; complemented with onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours.
King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will be joining an innovative and progressive team that is redefining how we work as we transition to the department's hybrid environment.

Job Duties
- Process invoice payments using Oracle iExpense/iProcurement.
- Create requisitions and process Purchase Orders. Review Purchasing Card (P-Card) transactions for approval and maintain all back up documents and receipts. Coordinate Expense and Travel approval and reimbursements.
- Research payment issues and concerns to include verifying payments have been made.
- Manage requests for the purchase of supplies and other program materials. Handle reimbursements for office-related and program related purchases; maintain records and reconcile accounts for purchases.
- Backup contract liaison: Review contracts for correctness and completeness. Upload into documents into contact management system, create invoices and monitor contract expenditures.
- Document standard work processes and assist in continuous improvement.
- Provide technical support to staff and community members for digital meetings that use Zoom, Microsoft Teams, or other online platforms.
- Update and maintain division SharePoint sites.
- Provide administrative support and coordination for the division such as: scheduling, documentation of minutes, tracking workload and assignments, email management, and records management; copy, file, mail, fax, and archive documents.
- Perform other duties as assigned.
- Minimum of two (2) years experience in administrative and financial management that must include involvement with grants, contracts and/or budget development.
- Demonstrated experience providing administrative support in a high volume, fast paced, deadline driven environment.
- Knowledge and demonstrated experiences using procurement and financial management systems
- Ability to identify and prioritize time sensitive matters while adapting to changes in workload demands.
- Intermediate proficiency in MS Office 365, including Word, Excel, Outlook, PowerPoint, and SharePoint.
- Experience in liaising with various stakeholders, such as internal or external clients to resolve complex issues which includes internal policies and procedures.
- Ability to work as a positive, efficient and goal orientated member of a team.
- Ability to move up to 25 pounds from one location to another and the ability to repeatedly sit and stand throughout the day.
- Experience using Oracle EBS
- Experience with NeoGov and Workforce Tracking, or similar HR software
- Knowledge of procurement, contracting, and accounts payable
- Experience with Lean, continuous improvement
