King County Information Technology (KCIT) is looking for an Administrator I who is personable, reliable, and able to work independently. This role will provide administrative support to KCIT's Human Resources and Finance teams by coordinating and performing administrative duties which include general office duties, human resources support, recruiting coordination, travel support, telecommunications, facility management, annual compliance tasks, events and meetings. This position will execute a variety of routine and complex administrative duties in support of the day-to-day operations. They will be customer focused and detailed oriented with excellent process management and organizational skills.

Work Schedule
The normal workweek for this position is Monday through Friday, 8:00 a.m. to 5:00 p.m. Alternative work schedules may be considered. This position is not eligible for overtime pay.

- Human Resources Support: assists with day to day human resources activities including but not limited to HR file management, service awards, org charts, ORCA card/badge management, HR records requests, answering KCIT HR calls/emails as needed.
- Recruiting Support: assists/coordinated day to day recruitment activities including but not limited to scheduling interviews, working in our applicant tracking system NEOGOV, booking conference rooms, preparing panels/candidates for interviews, greeting candidates, facilitating interviews.
- Travel Support: assists with employee out-of-state travel requests to include; verifying employee checklist, waivers for lodging, requesting tentative itinerary from travel agency, airline ticket issuing via King County T-card thru travel agent, and creating Oracle iExpense Report; assists with candidate travel and reimbursements as needed, assists with new employee relocation paperwork and reimbursements as needed.
- Records Management: acts as the subject matter expert (SME) which entails building and maintaining a strong relationship with the Employee Records Management System technical team and the KCIT ERMS users, assists with the implementation and ongoing usage reporting of the ERMS filing/ record keeping systems for assigned KCIT work groups, assists and answer questions for the KCIT staff and if needed being the interface to the ERMS technical team to obtain a resolution.
- Telecom Coordination: Mobility Device management, new activations/upgrades/disconnect, recycle & wipe smart phones, reporting-usage and devices.
- Office maintenance and supplies: coordinates copy machine maintenance and toner replacement, coordinates supply room on multiple floors in the Chinook Building, orders office supplies and assist with business card procurement.
- Facilities coordination support: Facilities liaison for building issues, serves as 6th Floor Safety Warden, attends Chinook building safety committees on behalf of KCIT, coordinates with Facilities Management Division (FMD) on building issues such as temperature and other facilities issues, facilitates the resolution of workstation ergonomic issues with FMD and Safety and Claims, assists in coordination of building badge access, assists with garage access and coordinate with FMD as needed.
- Communication: updates KCIT employee phone list in Chinook Elevator Lobby for the 6th, 7th and 9th floors, updates staff online directory, serves as co-owner several email distribution groups, update cubicle nameplates, acts as Flu Shot Coordinator for department.
- Department Move Activities: assists with coordination of internal moves of KCIT staff, works with the moves coordinator and project manager, follows-up with name plates, furniture moves and ordering, and other issues related to move activities.
- Yearly Compliance Activities: assists with coordination of KCIT annual driver's license review with Fleet, assists with coordination annual Financial Disclosure reporting process.
- Mail: distributes KCIT 6th, 7th, 9th Floor Chinook Inter-Office/US Mail (daily), maintains mail slots of employees leaving/new hires, coordinates outgoing United States mail for registered letters and other mail items, manages UPS and FedEx Deliveries.
- General Office:
- Within established guidelines, make independent decisions regarding planning, organizing, and scheduling work, and shifting priorities as needed.
- Demonstrate sound judgment, initiative and competency in making decisions on how to plan or execute assigned tasks based on a stated intent.
- Identify situations that require immediate attention or escalation.
- Collects and compiles complex data from several sources and compile into spreadsheets and/or SharePoint. May export or import data, design materials for high-end presentations using graphics and may create tables, links, formulas, macros or mail merges.
- A high degree of interaction within the organization and with our customers requires predictable attendance and punctuality and a professional, competent and proactive work demeanor.
- Keeps paper files and materials organized and up to date

- Experience, Qualifications, Knowledge, Skills
- A minimum of 3 years of administrative experience
- Previous experience with records management in government
- Prior experience with travel support
- Microsoft Office 365 proficient
- Proficiency in SharePoint
- Purchase card experience
- Proven ability to exercise considerable discretion & independent judgment when making decisions and interacting with team members and customers
- Strong interpersonal skills with the ability to deal with people from all different backgrounds and perspectives
- Experience in shifting priorities quickly and multi-tasking in a fast-paced environment
- Excellent writing skills – good grammar, punctuation, and sentence structure
- Ability to communicate (verbally & written) with considerable tact & diplomacy
- Independent thinker that can consume large amounts of data and determine causality and saliency and execute next steps
- Adaptable to fluctuating deadlines and stay focused
- Must be able to adapt to intense workloads, schedules and diverse situations with a sense of urgency
- Proven confidence and decisive approach in stressful situations and tight time frames
- Strong detail orientation, planning and organizational skills
- Prior experience with the Applicant Tracking System Neogov
- Prior experience supporting Finance and/or HR groups in an administrative role
