- Summary
King County's Office of the Executive is seeking a committed and disciplined Administrator I, to provide high level administrative support to the Office of the Executive and the Office of Performance, Strategy and Budget. This opportunity is offered as either a Special Duty opportunity or Term-Limited Temporary assignment expected to last twelve (12) months. Our ideal candidate will be a trusted and creative problem solver, time manager, and goal setter; skilled at building effective relationships with customers and coworkers; and committed to analyzing and improving business processes and procedures, leading to improved departmental service and efficiency.
The successful candidate must have previous experience using Oracle E Business Suite for AP/AR, procurement, expense transactions, as well as intermediate skills using full Microsoft Office Suite, including Excel, Word, Outlook, and SharePoint. PeopleSoft experience is a plus.

Accounts Payable/Receivable:
- Verify invoices, expense reports, account coding, and payment approvals within established guidelines and timelines.
- Serve as the P-card holder for the office. Maintain paperwork and approvals for P-card purchases.
- Process paperwork for new vendors.
- Perform account reconciliation and maintenance.
- Receive and process grant and miscellaneous funds.
- Oversee agency procurement of office equipment, maintenance orders, and supplies. Order, receive, inventory, and distribute supplies and equipment according to office and county guidelines.
- Request quotes and approvals on items with large dollar amounts. Check Oracle system for existing purchase orders and approved vendors.
- Maintain file on yearly purchase order renewal and follow guidelines for year-end processing.
- Complete employee travel reservations, training, conference registrations, and professional affiliations and memberships.
- Maintain spreadsheets of all controlled assets and all physical inventories. Supply information to management on assets owned by the office.
- Complete contract paperwork, obtain required signatures, and submit information to Procurement.
- Provide information to management of payment records on contracts. Assist managers in the processes of contract amendments to add funds, scope of work, and/or time of performance.
- Work with vendors on completing paperwork or payment questions.
- Maintain files for AP, AR, inventory, county lawsuits, grants, and legislation books.
- Participate in Lean process improvements, office work planning, and data collection.
- Coordinate moving and decommissioning offices.
- Provide backup phones/reception for the office.
- Maintain copy room and machines.
- Other projects and duties as assigned.
- Experience, Qualifications, Knowledge, Skills
- Two years of professional experience using Oracle E Business Suite to process accounts payable, procurement, and expense transactions.
- Three years of professional experience managing office supplies including research and recommendation, inventory management, ordering, receiving, filing, and verifying goods and invoices.
- Demonstrated ability to develop monitoring and tracking systems to support work activities and administer and monitor those systems.
- Experience providing excellent customer service in-person, through email, and over the phone.
- Experience researching, analyzing, and using data to make decisions or recommendations.
- Intermediate level skill using Microsoft Office products, including Excel, Word, Outlook, and SharePoint and other applications relevant to the position.
- Ability to use initiative and judgment interpreting policies, rules, and guidelines.
- Demonstrated ability to analyze processes and procedures and provide feedback to improve PSB processes and customer service.
- Demonstrated ability to work independently as well as an effective team member.
- Demonstrated ability to prioritize work on a daily basis while handling multiple tasks, deadlines, and changing priorities.
- Candidates must have demonstrated punctuality, dependability, and good attendance in previous job experience.
