King County Metro Transit's Mobility division has two outstanding career service Administrator I opportunities within their Access and Customer Communications & Services sections. Mobility is searching for self-motivated individuals with good judgment, an eye for accuracy, and a high level of professional integrity to provide strong administrative support to Supervisors, Managers, and Managing Directors within the Mobility Division. This recruitment will be used to fill two current career service positions in the Mobility division and may be used to generate a pool for similar Career Service, Term Limited (TLT) and Special Duty Assignment (SDA) openings in this division.
- Job Duties

In this role, you will apply equity and social justice principles that exemplify shared values, behaviors, and practices to all aspects of the work. As the Administrator I, you will:
Be the delegated authority to independently handle many daily administrative support functions for and on behalf of the manager.
Serve as liaison between the manager and internal and external groups or individuals.
Organize and schedule various meetings/events on behalf of the manager or staff; facility reservations, materials development (projector setup, microphone for meeting use, etc.).
Provide and keep documentation/notes, prepare needed documents or equipment, and take notes at select meetings.
Maintain the manager’s calendar, provide context for appointments when necessary and assist in tracking appointments.
Use independent judgment to screen telephone calls, emails, and visitors to provide exceptional customer service.
Maintain confidentiality while earning trust and respect of co-workers through honesty, integrity, and professionalism in all interactions.
- Develop, coordinate, and monitor systems to support a variety of administrative programs or projects such as legislation, formal correspondence, records management, travel, training, onboarding, interdivision communications, telecom, public records, IT projects, office space, and more.
Responsible for payroll and accounts payable operations; including budget charge coding and tracking by project; budget charge reconciliation for multiple projects in Oracle.
Manage the completion and approval of required forms for personnel transactions, requisition forms, purchase orders, and expense reports.
Provide information to management and staff on administrative policies and procedures.
Assist with continuously improving systems. Stay abreast of new technology and how it can benefit the work being done with the section.
Represent the work unit, division, or department on internal committees or task forces as assigned.
Have possible opportunities to oversee the work of other administrative staff.
Perform other related duties as assigned.
- Experience, Qualifications, Knowledge, Skills
Have a strong background in senior-level administrative support; OR an equivalent background of education and experience.
Have a deep-rooted commitment to customer service, and the ability to work with diverse groups of customers in person, via telephone and e-mail, and the ability to maintain an appropriate level of confidentiality.
Has a commitment to supporting and strengthening the team.
Are clear communicators, both verbally and in written form.
Are experts in leveraging technology tools, including intermediate-level skills in Microsoft Office-Word, SharePoint, Excel, PowerPoint, Outlook, Visio, and Adobe Pro.
Are proactive and able to coordinate a high volume of diverse and competing priorities in a sometimes-ambiguous work environment.
Are knowledgeable about how large organizations work; takes initiative; navigates the system to get things done; and proactively assists others.
Has integrity, builds trust, and uses sound judgement and diplomacy in making independent decisions.
Organized and detail oriented without losing sight of the big picture.

This position is open to King County employees only.
Work Schedule
The workweek is typically Monday through Friday 8:00 am to 5:00 pm, but flexibility will be considered based on business needs. This position is non-exempt from the provisions of the Fair Labor Standards Act, and is therefore eligible for overtime pay.

TEMPORARY TELECOMMUTING REQUIREMENT
The work associated with this position will be performed remotely, at least through July 5, 2021 in compliance with King County’s telecommuting mandate. It is possible that the work will be primarily performed remotely on an ongoing basis after July 5, 2021. Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to
workplace reporting requirements. There will be situations where the employee is required to report to a County worksite. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required by the department in alignment with the Public Health Directive from the Seattle & King County Public Health Officer.
