Summary

King County's Department of Local Services (DLS) Director's office is seeking an Administrator II to provide administrative and project support to the Deputy Director, Chief of Staff, Chief Financial Officer, and External Relations Manager. This role involves daily interaction with the organization at all levels as well as external contacts.
 
The ideal candidate for this role will be a self-starter who has excellent interpersonal skills, a keen attention to detail, an ability to stay focused in a fast-paced environment with competing priorities, and a commitment to equity and social justice.
 
The Administrator II will work in the Director's Office of the Department of Local Services and will provide administrative and project support to the Deputy Director, Chief of Staff, Chief Financial Officer (CFO), and External Relations Manager. Duties primarily include assisting the CFO with accounts payable, purchasing and contracts; supporting and leading the use of SharePoint; serving as the Director's Office Records Coordinator; and working as an integral part of the External Relations Team to plan, organize, and report back on community meetings. Other duties may include developing tracking systems and materials in support of Director's Office initiatives; coordinating with Department administrative and program staff; and other duties as assigned.

Job Duties

  • Provide business and support services for Director's Office; act as back-up for Director's Executive Assistant; assist with calendaring and legislation transmittals, as requested.
  • Assist with accounts payable, purchasing and grant management processes. 
  • Research and analyze financial data, including identifying revenues, expenditures and discrepancies and conducting some basic forecasting; prepare financial reports and make corrections within established parameters.  
  • Participate in the coordination, marketing, and support of community outreach events, programs, or projects.
  • Assist in organizing the logistics related to community outreach events (location, supplies, marketing materials, language access, attendee communications, etc.).
  • Assist and participate in the development, coordination and support of programs and projects for the Director’s Office. Purchase equipment and supplies for the Director's Office.
  • Greet visitors and answer Department of Local Services main phone line. Assist residents with questions and issues. 
  • Respond to inquiries about procedures, processes, events, programs, projects or other County Services.
  • Assist the Chief of Staff in the development of and revisions to administrative systems.
  • Assist with new employee orientation and setup.
  • Support and lead the use of the Director's Office SharePoint site.
  • Serve as Director's Office Records Coordinator and support Content Manager/Records Retention System implementation.
  • Develop monitoring and tracking systems to support work activities and track event data; administer and monitor such systems.
  • Prepare reports, charts, graphs, or other materials necessary to present management positions.
  • Compose, draft, summarize, prepare, proofread, and edit issue responses, presentations, reports, legislation, letters and memos to ensure they conform to established procedures and support high customer service standards.
  • Coordinate with other administrative staff in the Department to ensure the policies, procedures, and communications are consistently being applied across the Department.
  • Develop, implement and evaluate methods for monitoring existing and new administrative systems to support work activities at the unit, section, division and/or department levels.
  • Represent the work unit, division or department on internal committees or task forces as assigned.
  • Apply equity and social justice principles as a daily responsibility and a foundational expectation for all King County employees.
  • Perform other duties as assigned.

Experience, Qualifications, Knowledge, Skills

The ideal candidate will have the following qualifications:  

  • Knowledge of financial principles and practices as well as accounts payable
  • Demonstrated organization and prioritization skills.
  • Strong written and oral communications skills
  • Excellent analytical and problem-solving skills
  • Effective team member with excellent interpersonal skills
  • Basic knowledge of information-gathering techniques and principles for research assignments
  • Project management skills
  • Skill in analysis and interpretation
  • Solid quantitative skills and ability to use Excel
  • Strong knowledge of and demonstrated prior experience using Teams, SharePoint and/or other collaborative online tools and the ability to quickly learn new software skills when needed.
  • Knowledge of PeopleSoft, Oracle, helpful.
  • Ability to work collaboratively with a diverse group of employees and community members

Supplemental Information

Work Schedule
The work week is normally Monday through Friday, 7:00 a.m. to 4:00 p.m., but may at times require work outside of normal business hours and/or on weekends. This full-time position is overtime eligible

Teleworking Requirement
The work associated with this position will be performed by teleworking, onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities.)  Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.

Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required, including the wearing of masks in some situations.
