Eastgate Public Health is seeking to fill a Referral Coordinator vacancy at our Eastgate (Bellevue) clinic!
The Referral Coordinator in Primary Care at Eastgate Public Health (Bellevue) provides support to our clients who need specialty care and treatment beyond primary care services and as instructed by Primary Care providers
The Referral Coordinator is responsible for processing new referrals; obtaining insurance authorization; assists client with obtaining financial assistance from insurance plans and community services, such as project access and charity care. The referral coordinator must be a self-starter, with excellent time management and organizational skills. The Referral Coordinator processes approximately 400 referrals per month, with an average of 3-5 phone calls per referral. The Referral Coordinator works closely with the clients and contacts them when referral is processed and provides the specialist name and contact information for the client to schedule appointment with. There are times when, the Referral Coordinator may need to assist clients with scheduling appointment or related services. The Referral Coordinator is responsible for maintaining clients records in the referral database; ensuring a prior authorization is received from the client's insurance company when required; ensuring reports are received from specialists; troubleshooting billing issues; responding to inquiries from the public regarding community resources; informing clinic management and provider of processes or insurance changes that impact referrals. The Referral Coordinator will adhere to programmatic standards around referral management.

This position works Monday through Friday, 40 hours per week, however, in an effort to meet our clients' needs, this position may be required to work outside of these hours, and may include Saturday hours.This position is non-exempt from the Fair Labor Standards Act and therefore is overtime eligible.

- Job Duties
- Receives referrals from providers and provider teams and prioritizes the referrals, handling urgent referrals first.
- Verifies eligibility and effective dates of coverage for patients needing referrals.
- Works with uninsured clients to complete charity care applications related to specialty care referrals.
- Screens referrals for potential preexisting conditions (BHP) and/or requests for referrals to non-covered services
- Ensures that adequate information to establish the medical necessity for the referral is present; consults with providers when additional information is needed.
- Communicates approval or denial of referral prior authorization to provider team and specialist as needed.
- Communicates appointment date and time to patients and enters this information into the patient's medical record and the referral tracking database
- Schedules appointments with specialists, diagnostic imaging, lab testing and other medical services as needed.
- Faxes referral chart notes and other necessary information to specialist and other medical service providers.
- Makes arrangements for clients who need interpreters and/or transportation to specialist or other medical service visits.
- Enters referral data into referral database and abides by required data entry timelines.

- Experience, Qualifications, Knowledge, Skills
- Excellent customer service in person, on the phone and in written communication
- Working knowledge of the clinical services provided in an ambulatory care setting; knowledge of the specialty referral process,
- Working knowledge of eligibility requirements for Medicaid and state-sponsored health care programs; working knowledge of charity care or patient assistance programs in King County and Washington State.
- Demonstrated ability to communicate effectively by phone and in person with providers, staff and clients.
- Demonstrated ability to communicate in writing clearly, concisely and accurately.
- Demonstrated ability to work with referral tracking database.
- Demonstrated ability to work as a member of a team; skilled in interpersonal relationships and conflict resolution.
- Demonstrated ability to perform very detailed work with speed and accuracy.
- Demonstrated ability and commitment to work with a diverse community of internal and external customers.
DESIRABLE QUALIFICATIONS:- Knowledge of medical terminology and chart/medical record documentation as they pertain to an ambulatory care clinical practice.
- Knowledge of local and state organizations/agencies dealing with community health care and social services is desired.
- Bilingual in English and Spanish; as Eastgate Public Health and South King County Public Health Centers serve a large Spanish speaking population.

Public Health relies on office automation (Microsoft Office) and web-based enabled tools, therefore candidates must be proficient and comfortable with computer use to perform functions associated with on-going work.
Regular and reliable attendance, effective communication skills, and development of effective working relationships are requirements of all Public Health positions.
Staff may be required to play a role as a first responder in the event of a Public Health emergency.
Staff will be required to travel to other clinics to provide backfill as per the business need presents.
NECESSARY SPECIAL REQUIREMENTS:- The selected candidate will be required to pass a thorough background investigation.

- Employees are required to adhere to OSHA/WISHA guidelines including but not limited to completing their mandatory trainings on time.
