Summary
The Chronic Disease and Injury Prevention (CDIP) Section of Seattle & King County Public Health is seeking two Full Time Term Limited Temporary or Special Duty Business & Finance Officer I's to join our team!
The position serves in various fiscal capacities. This position would be responsible to complete and submit grant billings, journal entries, monitoring contracts, running reports, managing imprest, gift card and cash incentives as well as tracking invoices and other ad hoc financial tasks. This position serves as an integral part of the Administrative and Finance team and plays a key role in supporting multiple work projects and programs within APDE/CDIP sections.
This is a Term-Limited Temporary opportunity. Term-Limited Temporary positions are "at-will" positions but are eligible for benefits. This TLT is currently anticipated to last for eighteen (18) months. However, funding sources for this work remain uncertain and dependent upon decisions actively being made at both the federal and local levels. As a result, the end date of this position may be adjusted based on those decisions. The County and the Department continue to work to secure long term funding sources.
This vacancy can also be filled as a Special Duty opportunity.
For Special Duty Assignment interest, you must be a Career Service, Career Service Exempt or other regular (non-temporary) employee in King County who has completed their initial County probation. You must have supervisor approval prior to taking a Special Duty Assignment.

The work associated with this position will be performed predominantly remotely; complemented with onsite work and meetings as needed. Employees will have access to shared workspaces at various King County facilities. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection (access may be supplemented in some situations) where they can reliably perform work and remain available and responsive during scheduled work hours.
King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will be joining an innovative and progressive team that is redefining how we work as we transition to the department's hybrid environment.
Work Schedule:
The normal work week for this position is Monday through Friday, 8:00 a.m. to 5:00 p.m.

Job Duties
Administrative (including but not limited to):
- Provide administrative support and section coordination for the division such as: documentation of minutes, tracking workload and assignments, email management, and records management.
- Research payment issues and concerns to include verifying payments have been made.
- Serve as the backup invoicing contact within the division and provide customer service to internal clients and external vendors regularly handling difficult situations requiring tact, discretion, and diplomacy.
- Pay invoices and track spending for section purchases and vendor contracts, including reviewing invoice back-up documentation.
- Work with procurement to set up new vendors and payable contracts
- Complete and submit grant and contract billings
- Track and manage multiple imprest funds, gift card incentives and/or cash incentives (custodian duties).
- Produce financial reports and analyze/reconcile fiscal data.
- Create and submit fiscal adjustments (to the general ledger)
- Coordinate with payroll and program staff on timesheet corrections (obtain signatures from staff and supervisors, ensure proper storage of timesheet records)
- Participate and provide documentation for federal and state audit visits as needed.
- Participate in fiscal and all staff meetings
- Organize, track, and maintain documentation such as contracts, budgets, payroll, legal documents and/or other financial, accounting or fiscal records and documents.
- Create and revise program and grant budgets
- Monitor payroll and other expenditures against existing budgets.
- Update and maintain program fiscal policies and procedures, and inform other program staff on these procedures.
- Perform other duties as assigned.
- Knowledge of budgeting, finance, managerial and/or financial accounting
- Intermediate Microsoft Excel proficiency including the ability to create pivot tables, charts, formulas
- Have experience purchasing goods and services, processing invoices and expenses. Track and maintain files of payment documents and correspondences.
- Professional verbal and written communication skills
- Demonstrated time management and self-direction skills to prioritize work and complete multiple tasks simultaneously with accuracy
- Ability to work as a positive, efficient and goal orientated member of a team.
- Ability to move up to 25 pounds from one location to another and the ability to repeatedly sit and stand throughout the day.
- Experience working with federal and state grants
- Advanced aptitude with Microsoft Excel, including VLOOKUPs, if-then functions and macro creation
- Knowledge of governmental accounting and finance
