We have two openings for administrative support as part of the COVID-19 homeless response in the Community Health Services Division. These positions are responsible for providing essential administrative support to our Mobile Assessment Team or our Health Engagement Action Resource Team.
Position 1: The Mobile Assessment Team (MAT) is responsible for providing proactive and reactive COVID-19 testing for people who are at high risk for severe illness from the disease and are not able to access testing at a hospital, clinic, or other site. This includes residents of supportive housing programs, behavioral health residential programs, emergency shelters, adult family homes, and assisted living or long-term care facilities. The team provides reactive testing directly to sites where there is a suspected or confirmed COVID-19 case as well as proactive testing for surveillance in homeless service sites. This position will be based out of Columbia City Center for Health with some remote work during COVID.
Position 2: The Health Engagement Action Resource Team (HEART) provides both proactive and reactive visits to homeless service sites to assess practices for health, safety, wellness, and infection prevention. They conduct a targeted on-site clinical assessment of residents and staff and an on-site facility assessment of current infection and control strategies, provide education and training to prevent further transmission, conduct limited testing on those with CLI symptoms, initiate rapid referral of residents to isolation and quarantine, and determine if follow-up support is needed. This position will be based out of the Chinook Building, though will be primarily remote during COVID.

Provide administrative support for testing events or homeless service site visits
- Support the scheduling of testing events or site visits, coordinating with outreach and service providers as needed. Coordinate with HEART or MAT supervisors to ensure appropriate staff are assigned to the visit and respective roles are tracked.
- Respond to or triage inquires and requests from disease investigators, outreach partners, and service providers.
- Ensure the testing event or site visit calendar is up to date and accurate with all site visit locations and staff assignments.
- Support preparation for events by sharing relevant information, education, and guidance on the site visits with facility points of contact or outreach partners as well as preparing necessary paperwork and materials for the HEART or MAT staff.
- Organize and track all reports resulting from testing events or site visits. Assist in the editing and finalizing of site visit summaries and reports. Store and manage reports according to established system.
- When on-site, assist with packing and unpacking supplies from cars before and after testing events or site visits to ensure consistent stock of supplies are available.
Develop and implement standard operating procedures to manage information, documents and reports- Establish processes for organizing, uploading and managing all documents, files, site visit reports and other information on websites and other shared electronic sites such as Teams and SharePoint.
- Establish process for maintaining version control of all documents with special attention to relevant guidance issued by PHSKC.
- Support team in establishing and maintaining team communication channels, including the taking, sharing and storing of meeting notes for designated meetings.
Create and manage processes for ordering and receiving supplies- Coordinate and track supply orders and deliveries with CHS COVID-19 Supplies Lead/Team.
- Track par levels of all supplies: outreach, PPE, and testing.
- Assure administrative and office supplies are ordered in timely manner, including for new staff (e.g. laptops, phones).
- Schedule and track the use of cars as needed, including when the battery needs to be charged.
- Provide administrative support for reviewing expenditures for budget development and tracking.
Support onboarding and training of new staff.- Under the direction of appropriate HEART or MAT staff, prepare the educational materials, videos, or packets (paper and/or electronic) for new hires.

Work Location:
HEART position the primary location is Chinook Building, 401 5th Avenue, Seattle, WA 98104.
MAT position the primary location is Columbia Public Health Center, 4400 37th Ave S, Seattle, WA 98118.
Both positions must be able to travel to sites periodically to meet with clinical teams. Staff will be also required to telecommute.
Temporary Telecommuting Requirement
Some of the work associated with this position will be performed remotely, at least through July 5, 2021 in compliance with King County’s telecommuting mandate. Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. There will be situations where the employee is required to report to a County worksite. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required by the department in alignment with the Public Health Directive from the Seattle & King County Public Health Officer.
