Public Health – Seattle & King County is looking for 3 Administrative Specialist II's to join the COVID-19 Downtown Public Health Team which is responsible for providing COVID-19 testing for people who are at high risk for severe illness from the disease and are not able to access testing at a hospital or their own clinic.
This is a full time TLT or special duty opportunity expected to last until June 2021.
These roles are responsible for administrative tasks providing specialized technical, COVID program-specific information that requires limited interpretation of established policies, procedures and other relevant sources to internal and/or external customers over the telephone, in writing and/or in person. This position is based at the Downtown Public Health Center in (Belltown) Seattle. The work schedule is Monday-Friday, 8 am – 5 pm. The position reports to the COVID Public Health Service Supervisor (PHSS).
Some employees may have to deal with sensitive and/or potentially volatile situations. This position is responsible for safely performing a variety of skilled work including distributing materials throughout multiple floors within Downtown Public Health Center. This position(s) will also perform support activities for multiple disciplines in high volume COVID Testing healthcare setting as part of Downtown Public Health Center

Work Schedule: This position has a regular schedule of Monday through Friday, 8am to 5pm, 40 hours per week.This position is FLSA non-exempt and overtime eligible.
Work Location: This position will primarily work at the Downtown Public Health Center located at 2124 4th Avenue, Seattle, WA. As needed, the position may be deployed to other Public Health Centers and sites throughout King County.

- This position is part of COVID Downtown Public Health Center Team and will be cross-trained to fill in for multiple clerical/admin support positions which include support for the COVID results calls, screening, emailing out results, creating COVID Kits, restocking supplies and working on data entry.
- Triage a high volume of telephone calls from the general public seeking information on COVID results. May deal with sensitive and /or potentially volatile situations.
- Provide specialized and/or technical program-specific information that requires limited interpretation of established policies, procedures and other relevant sources to internal and external customers over the telephone, in writing and in person.
- Assist with maintaining physical inventory for COVID testing services as part of the Supply/Ops team; which entails, navigate throughout a multi-story building using stairs for up to six hours a day, utilizing a stocking cart and lifting items up to 30 pounds with or without accommodations.
- Perform basic stocking functions using material handling equipment, load and unload items, and acknowledge receipt of goods and services.
- Utilize Windows-based software and electronic health records. Scan health information into an electronic health record system (EPIC®). Identify and correct errors to ensure scanning accuracy and to generate statistics. Accurately enter data into multiple databases that includes complex text and numbers and medical terminology.
- Open, sort, and distribute mail. Attend and take minutes at meetings. Maintain calendars for supervisor and /or program resources, as needed.
- Assist clients, both internal and external with inquiries and follow up on their concerns.
- Experience, Qualifications, Knowledge, Skills
- Computer skills including proficiency in a Windows environment, and the ability to use drop down menus, point and click software, multiple screens and the ability to enter data accurately and quickly.
- Ability to use word processing and spreadsheet software to complete assigned clerical tasks.
- Ability to demonstrate knowledge of basic accounting and mathematics.
- Ability to demonstrate knowledge of proper English grammar, usage and spelling.
- Ability to communicate effectively, both orally and in writing.
- Ability to maintain confidentiality on sensitive matters.
- Ability to communicate in a pleasant, non-judgmental, respectful, culturally sensitive manner under varying levels of stress (this may include high levels of noise, limited resources, etc.).
- Ability to demonstrate customer service skills – in person and via telephone with discretion, patience, etiquette and professionalism.
- Ability to use a multi-line telephone system as well as other office equipment including: TDD machine, fax machine, copiers, scanner, label maker, and printers.
- Ability to gain functional knowledge of medical terminology.
- Ability to work independently and in an organized manner.
- Ability to push, pull or move items greater than 30 pounds, with or without accommodations.
- Ability to reach above head, kneel, bend, stoop, push cart and navigate throughout a multi-story building using stairs and to walk greater than 300 yards for up to six hours a day.
- Ability to prioritize and complete multiple tasks simultaneously.
- Ability to work with interpreters and English as Second Language (ESL) clients.
- Ability to navigate freely throughout EPIC® and other electronic health record systems.
OR:- Any equivalent combination of experience and education which provides the applicant with the desired skills, knowledge and ability required to perform the work.
Desired Experience:- Previous experience working at a COVID Testing site.
- Experience using an electronic health record system.
