Summary
The Central Employee Services Division (CESD) within the Department of Human Resources (DHR) seeks a creative and motivated professional to serve as an Executive Assistant.
As the Executive Assistant you will report to the CESD Director and will primarily support the Director and Deputy Director. You will also be relied upon to provide complex and confidential administrative support to the division and division leadership to carry out strategic goals and initiatives. This role will provide daily briefings, draft high level correspondence, document tracking and reporting, coordinate travel and reimbursement, and perform procedural documentation and record keeping. This position is also a key member of the DHR Administrative Team and will work across the department, and with other County agencies and external partners.
The successful candidate for this role will need to be flexible, self-motivated, and detail oriented. In addition, this role requires strong communication, interpersonal, technical, and follow-up skills to successfully collaborate with others and navigate in a fast-paced, ambiguous environment.

The duration of the temporary assignment is anticipated to last up to six months. Employees are paid on a bi-weekly schedule, every other Thursday, comprising a 40-hour workweek, normally 8:00 a.m.-5:00 p.m., Monday through Friday. This position is not represented by a union and is classified as an Executive Secretary/Assistant I; class code: 4208100.

Teleworking Requirement
The work associated with this position will be performed predominately through a hybrid work schedule of onsite and remote work. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Job Duties
- Serve as the primary assistant to the Division Director, Deputy Director, and Division Leadership team.
- Provide daily briefings and prioritization of responsibilities.
- Manage and maintain complex calendars to ensure accurate scheduling and prioritization.
- Support the division with a wide range of administrative tasks including high level correspondence, document tracking and reporting, travel coordination and reimbursement, as well as procedural documentation and record keeping.
- Support the bi-weekly payroll and time-keeping approval process.
- Coordinate and/or facilitate the planning of division staff meetings, teambuilding, and recognition activities.
- Research issues or topics requiring discretion and a high degree of confidentiality, and draft correspondence on behalf of the Division Director and Deputy Director.
- Ensure that administrative support operating procedures are properly documented.
- Evaluate, draft, edit, revise and/or publish procedural documents as needed.
- Maintain a variety of complex records and record keeping systems, typically containing materials of a highly sensitive or confidential nature.
- Evaluate, revise, and/or establish record keeping systems as needed.
- Research and organize concise, eye-catching content for high-level presentations.
- Oversee the HR collaboration SharePoint site to ensure division information is current.
- Provide back-up assistance to support the King County Service Award Program.
- Act as DHR's Public Records liaison.
- Act as a back-up for the Administrative Team that supports the Department of Human Resources.
- Other duties as assigned.
Minimum Qualifications
- Associate degree in business, human resources, or related field; AND
- Three years of progressively responsible administrative experience related to the duties of the position; OR
- Any equivalent combination of experience and education which provides the applicant with the desired skills, knowledge, and ability required to perform the work.
- Administrative experience supporting leadership in a large, diverse organization.
- Ability to anticipate, assess, analyze, and address needs and be pro-active in determining the appropriate action in both routine and non-routine situations.
- Ability to determine the best means and approach to obtain necessary information to achieve administrative goals.
- Ability to establish and maintain effective relationships at all levels of the organization.
- Ability to work independently and as part of a team demonstrating professionalism and integrity in all interactions.
- Experience working with highly confidential and sensitive documents and issues with a strong sense of integrity, and the ability to exercise confidentiality and discretion in handling sensitive issues.
- Excellent judgment, ability to work independently, self-motivated, and able to take initiative.
- Ability to work in a fast-paced environment with competing and evolving priorities and excellent follow up on all tasks.
- Experience working with quantitative and qualitative data and visualization.
- Excellent oral and written communication skills and strong interpersonal skills.

- Ability to communicate effectively with other County agencies and external partners while yielding appropriate amounts of discretion.
- Exceptional software skills and proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Access, Visio).
