Summary
The Department of Human Resources (DHR) seeks a self-motivated and customer-focused professional to serve as a HR Laserfiche Technician (Administrative Specialist II). Under the direction of the HR Records System Administrator, this position will review and file employee personnel records into the Laserfiche Electronic Content Management (ECM) system and provide excellent customer service to Human Resource (HR) professionals.
The ideal candidate will thrive in a customer service, fast-paced environment, and will not hesitate to collaborate, work hard, have fun, and get the job done.

Job Duties
Work with department human resource teams onsite and remote to review, digitize, and file digital employee personnel records into the Laserfiche ECM system and provide excellent customer service to HR professionals and employees which includes the following duties:
Scanning Review - onsite work
Minimum Qualifications
This non-represented position is non-exempt from the provisions of the Fair Labor Standards Act and is therefore overtime eligible. Employees are paid on a bi-weekly schedule, every other Thursday, comprising a 40-hour workweek, normally 8 a.m.-5 p.m., Monday through Friday. This position is classified as Administrative Specialist II; class code 4201200.

This recruitment is open to King County employees and the public and will be used to fill one Term-Limited Temporary (TLT) position or Special Duty Assignment (SDA). The assignment is anticipated to last 12 months and may be extended based on business need.
Note: Special duty opportunities are open only to current King County career service and appointed employees who have completed their initial probation. Special duty applicants must have approval from their supervisor to accept an assignment. Current employees selected for special duty will be compensated based upon the provisions of the collective bargaining agreement or Coalition Labor Agreement for their base assignment.

Teleworking Requirement
The work associated with this position will be performed predominately through a hybrid work schedule of onsite and remote work. This position will t ravel to various King County worksites located in the downtown Seattle core. Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Employees will be provided with a County issued laptop and must maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Job Duties

Scanning Review - onsite work
- Meet agreed upon productivity standards.
- Review and log that employee file has been scanned.
- Ensure that every page belongs to appropriate record category or is given to appropriate department who has ownership of record.
- Ensure that the highest level of image quality possible is met, meeting Disposition After Digitization (DAD) requirements.
- Ensure entire page was scanned successfully.
- Mark every scanned batch with "Scanned" to indicate that scanning was completed.
- Use Adobe Pro/Acrobat DC for editing PDF files.
- Meet agreed upon productivity standards.
- Catch, correct, and report all prepping and scanning errors.
- Create and/or verify distinct, complete records using provided tools and job aids.
- Assign the appropriate metadata values associated with each record using Document File Map.
- Conduct routine audits to ensure document uploaded and indexed for quality control.
- Follow records management best practices for handling primary and secondary records.
- Travel to various King County worksites located in the downtown Seattle core.
- Deliver excellent customer service to HR professionals and employees by managing and responding to inquiries via email and phone.
- Maintain and ensure confidentiality of sensitive personnel information in all forms - written, verbal, and electronic.
- Other duties as assigned.
Minimum Qualifications
- Two years of strong administrative support or customer service experience; or
- Any equivalent combination of experience and education which provides the applicant with the desired skills, knowledge, and ability required to perform the work.
- Experience and demonstrated ability to work effectively and collaboratively with individuals from diverse backgrounds.
- Excellent oral and written communication skills, and the ability to communicate with diverse individuals within all functional disciplines and at all levels internally.
- Excellent customer service, problem solving skills, and attention to detail.
- Excellent time management skills, highly organized, and self-motivated.
- Ability to maintain a high level of productivity and confidentiality.
- Proficient skill with internet navigation and Microsoft 365 to include Outlook, Word, and Excel.
- Aptitude to quickly learn new systems and technology tools.
- Ability to timely follow through on tasks is essential.
- Associate degree or higher.
- Document imaging or scanning experience.
- Familiarity with general human resource terminology and practices.
- Experience working in environments where confidentiality is a requirement.
- Basic understanding of protected information like Personally Identifiable Information (PII).
- Familiarity with Adobe Pro/Acrobat DC for editing PDF files.
- Ability to lift and move boxes weighing up to 25 pounds with or without accommodations.
