Job Duties
Here are samples of the work you will be doing in this role:
Provide excellent customer service by responding to inquiries and delivering informational assistance to applicants, employees, and other customers, and coordinating with other units/departments to obtain information and/or to share information.
Administer human resource office operations by organizing requests, scheduling meetings and interviews, assisting with researching best practices, creating, and updating detailed information in support of classification and position management, and drafting materials such as presentations, executive summaries, and reports.
Coordinate the recruitment and selection process by posting job opportunities, arranging external advertisements, screening applications, scheduling interviews, preparing interview material, proctoring exams, and administering applicant tracking, testing, and reference/background checking systems and pre- employment physicals.
Act as a system administrator for PeopleSoft HCM and other software programs by managing data; providing training, responding to users' inquiries, resolving complaints, and escalating problems or issues to vendor representatives or technical support as needed; and generating analytics/metrics reports.
Manage records by ensuring timely creation, maintenance, and archiving of documents/files to support historical accuracy; and following records retention and destruction procedures in accordance with legal requirements.
Perform general office support by preparing correspondence and reports, scheduling meetings and appointments, researching and compiling information, maintaining assignment logs, updating standard work and websites, and making recommendations for process improvements and streamlining procedures.
Provide information, advice, and consultation to a high volume of inquiries from employees, management staff and the public. Oversee, coordinate, or assist with databases for information requests; prepare or oversee the preparation of statistical reports, graphs, charts, and other reports.
Facilitate high volume human resource transactions, onboarding, and special human resource projects.
Assist in employee investigations and preparation for administrative hearings and arbitrations.
Experience, Qualifications, Knowledge, Skills
WE ARE LOOKING FOR CANDIDATES WHO:
Have a strong background and knowledge in providing senior-level administrative support to professional staff; OR any combination of education and experience that clearly demonstrates the ability to perform the job duties of the position.
Have initiative and motivation to learn principles and practices of human resources management and employment-related federal and state laws and regulations.
Have demonstrated ability to maintain confidentiality and discretion in all professional interactions and conduct.
Have an understanding of database applications and analytical tools, including data quality and developing metrics.
Possess strong customer service, organizational, analytical, time management, communication, and interpersonal skills, including the ability to work well independently or as part of a team.
Are proficient with the use of office productivity suite in daily work, applicant tracking systems, and enterprise resource planning (The County uses Microsoft Office, NeoGov, PeopleSoft and other online collaboration tools).
ADDITIONAL POSITION INFORMATION:
REMOTE/IN OFFICE REQUIREMENT:
At this time this role is a hybrid position. The work is performed in office and remotely. Our office is located in the King County Administration Building (500 4th Ave, Seattle WA 98104).
Employees must reside in Washington State and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. There will be situations where the employee is required to report to a County worksite.
Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours.
To support employees during this time King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will be joining an innovative and progressive team. ADDITIONAL POSITION INFORMATION:
- This position has been designated by department leadership as NON -MISSION-CRITICAL in an emergency, which means that you perform functions which can be delayed in the event of an emergency.
- The normal workweek is 40 hours, Monday-Friday and may vary dependent on staff schedules and operational needs.
- This position is non-exempt from the provisions of the Fair Labor Standards Act and is overtime eligible.
- Employees are paid on a bi-weekly schedule, every other Thursday, comprising a 40-hour workweek; schedule and work location are to be determined.
