IT Lifecycle Scheduling, Reporting and Asset Coordinator

This position is open to Internal King County Information Technology (KCIT) employees and eligible Priority Placement participants ONLY. Only current KCIT employees and eligible Priority Placement participants applications will be considered.
King County Department of Information Technology (KCIT) is looking for an IT Lifecycle Scheduling, Reporting and Asset Coordinator. The IT Lifecycle Scheduling, Reporting and Asset Coordinator plans and schedules the upgrade of workstations both leased and owned. Develops and presents detailed reporting on computers needing upgrades, along with any special hardware or software needs requiring budget authorization. Works with key contacts within the organization’s at a department level and division level to review reports, make recommendations, obtain budget approval for hardware and software upgrades, pass order information to KCIT purchasing, arrive at an agreed upon schedule for the upgrades and handle follow-on cancellations and rescheduling. As computers are replaced, assists to ensure hardware asset data is updated accordingly.
This position links multiple types of data sources to conduct ad-hoc hardware asset reporting. Completes hardware asset reconciliations and other audit activities on demand. Performs other research as needed – including but not limited to lifecycle forecasting and financial impact. This position is responsible for producing daily, weekly and monthly Provisioning reports showing team KPIs, and be able to audit these reports for accuracy.

Work Schedule
The normal workweek for this position is Monday through Friday, 8:00 a.m. to 5:00 p.m. Alternative work schedules may be considered. This position is eligible for overtime pay.
TEMPORARY TELECOMMUTING REQUIREMENT
The work associated with this position will be performed remotely, at least through July 5, 2021 in compliance with King County’s telecommuting mandate. Employees will be provided with a County issued laptop and must maintain a workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours. Employees must reside in WA state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements. There will be situations where the employee is required to report to a County worksite. Please note that when an employee conducts work that is likely to bring them in contact with another individual, safety precautions are required by the department in alignment with the Public Health Directive from the Seattle & King County Public Health Officer.

- Develops reports to gather information from the organization’s hardware and software management system. Assembles the resulting hardware and software inventory data in a clear, easy-to-understand format and presents recommended upgrades along with reporting to key contacts within customer organization’s Departments and Divisions. Leverages experience in business relationships developed to assist key contacts in understanding the recommended upgrades, obtaining Department/Division budget approval and coordinating the appropriate chargebacks.
- Coordinates with KCIT’s purchasing resource to order needed software and hardware based on scheduled upgrades.
- Utilizes software and hardware reports to create build sheets for KCIT technicians with thorough instructions as to what is required for each software and hardware upgrade.
- Leverages experience in sales management to obtain agreement on computer upgrade schedules and appropriate hardware with Department/Division leadership, key contacts, managers and individual customers. Follows up with reluctant customers to ensure schedules are maintained and coordinates upgrade logistics to ensure the customer experiences a smooth transition and receives excellent service from Provisioning.
- As computers are replaced, assists with updating the central workstation data inventory.
- Manages upgrade ad-hoc questions from high-level department/division leadership, department/division key contacts, managers and individual customers regarding upgrade status, inventory-related data, scheduling plan and other related issues.
- Creates daily, weekly and monthly Provisioning KPI reports. Audits the accuracy of the reports before sending to upper management.
- Using Excel, links to data from multiple data sources to produce on-demand reports regarding lifecycle forecasting, spot checks of hardware asset inventory for subgroups, and other management research and reporting needs.
- Leverages existing knowledge and experience in IT hardware asset management to perform on-demand audits of hardware assets, linking to multiple sources of data to report every status available on the group of assets. Verifies accuracy through multiple means – everything from physical surveys to direct contacts with customers, supervisors and key contacts. Reconciles differences between customer records and IT’s records.

- Experience, Qualifications, Knowledge, Skills
IT Asset Management:
- Understands IT Asset Management best practices.
- Prior professional experience reviewing IT Asset Management processes, identifying where best practices are not occurring, and making recommendations to management.
- Min 1-year professional experience in executing targeted IT asset management research projects, utilizing multiple data sources and data audit methodology to provide the highest quality and most complete data, delivering the results within tight timelines.
- Min. 1-year professional experience in conducting IT hardware asset reconciliations and audit activities, including financial, warranty and lifecycle information.
- Min. 1-year professional experience performing IT hardware asset usage monitoring, physical location reporting and incidences of support.
- Demonstrated and proven work experience in process management and coordination.
Persuasion, Communication, People and Continuous Improvement Skills:
- Genuine, strong and demonstrable persuasion skills with ability to provide multiple direct examples from prior job history.
- Minimum 5 years general sales experience with proven track record demonstrating:

Data and reporting:
- For data entry and reporting in Excel and SharePoint, etc., must have solid understanding of best practices for data structures, integrity and normalization where possible.
- Must be able to design data audit processes to better ensure accuracy of data for targeted research projects.
Excel skills:
- Minimum 5 years’ experience using Excel in a professional environment.
- Minimum 2 years' using Excel to create links to multiple sources of data (SharePoint, other Excel files etc.) to report in from the sources in multiple ways, in multiple formats in Excel.
- Minimum 2 years' experience developing and running ad-hoc reports in Excel showing data in various summaries, sort orders, charts and graphs.
- Minimum 2 years' experience linking to and referencing data from multiple types of data sources from within Excel.
- Minimum 2 years' experience creating complex Excel functions that format data, eliminate false errors, or return calculated values based on data in the workbook or other outside sources.
- Minimum 2 years' experience developing data entry checks and validations for various cells within an Excel workbook.
