Legislative Secretary
- Summary
The King County Board of Appeals and Equalization (BoAE) is seeking a part-time, attentive Legislative Secretary to perform administrative support functions, with a focus on the digitization and management of appeal records, three days a week. The successful candidate will create digital copies of appeal records for board members, serve as the records management lead for the Board of Appeals & Equalization, and provide excellent customer service to taxpayers filing appeals. The Legislative Secretary is a hourly, part-time, overtime eligible, at will position. The work schedule will be three days between Monday to Friday.

In order to be considered for this opportunity, applicants at a MINIMUM must demonstrate skill and ability to:
Process and route appeal documents received by mail
Digitize appeal records by scanning or converting documents to a portable document format (PDF), then uploading digital copies to various databases and electronic document repositories
Promote and implement successful records management practices by ensuring coworkers have the information and on-site support needed to manage their records and information
Serve as the BoAE’s liaison for King County Records Management Program, facilitate the transfer of department records to inactive storage and archives, and assist the BoAE’s Disposition Authority and Public Records Officer on records disposition and disclosure matters
Provide excellent customer service by responding to taxpayers calls and emails regarding appeal matters
Employ working knowledge of office practices, procedures, and equipment, filing systems, reception, letter, and report writing, and photocopier/scanning, and postage machines.
SUPPLEMENTAL JOB DUTIES:
Occasionally you may also need to:
Prepare documents from rough drafts or verbal instructions in a variety of formats such as letters and memorandums. Compose routine correspondence and forms as necessary. May transcribe dictation.
Support hearings by note-taking, assisting with scheduling, running computer and audio equipment, securing meeting space, and troubleshooting computer and audio equipment and meeting space issues.
Enter data and track tasks, run ad hoc reports, and perform research in a web-hosted database.

OUR IDEAL CANDIDATE WILL:
The ideal candidate will have experience providing administrative support and excellent customer service in a government or legal environment with a proven track record of excellent written and verbal communication skills, initiative, good judgment, and will be familiar with records management practices.
Competitive candidates will possess 2 years of progressive experience administrative support to results-driven work groups or any combination of experience/education/training that clearly demonstrates the ability to perform the scope of the job duties and have demonstrated the following:
- Demonstrate proficiency in the use of Microsoft Word, Excel, and Outlook. Applicants MAY be tested on these skills.
- Possess experience and knowledge in writing and editing documents, using proper punctuation, grammar and sentence structure, and proofing.
- Employ strong customer service skills in communicating with tact, discretion, courtesy, and professionalism in person, via email, and over the phone, as well as maintaining confidentiality.
- Learn and utilize multiple software applications, including audio recording and note-taking applications, record-tracking databases, web-hosted databases, and other applications as necessary.
- Troubleshoot software and equipment related issues, often on the fly in high pressure situations
- Maintain focus and attention to detail in fast-paced environment, often while managing multiple and competing priorities.
- Be willing to work on other projects as assigned. Be flexible and adapt as required, while working in a multi-faceted, fast-paced, and sometimes ambiguous environment.
