The Communicable Disease Epidemiology & Immunizations Section is looking for an Administrative Specialist II to join our team! This full time, career service position will provide administrative support for disease investigation and immunization promotion activities, direct customer service and support over the phone in a fast paced work environment performing high volume data entry, review lab reports, transport specimens, triage customer phone calls, and maintain data bases.

WORK SCHEDULE: This position has a regular schedule of Monday through Friday, 8:30 a.m. to 5:30 p.m. and may be required to work outside of these hours.

- Job Duties
- Perform daily intake of newly reported disease events that are received via the phone and fax and enter information promptly and accurately into multiple computer databases.
- Triage a high volume of calls from the public and health care providers to a staff of 35 including Disease Investigators, an Immunization team and the Disease Control Officer
- Provide sensitive communicable disease information to the public and health care providers in telephone conversations, letters sent via US mail and through various websites.
- Provide information about other Public Health and King county government sites and services to callers related to Communicable Diseases, Epidemiology & Immunizations.
- Contact health care providers, laboratories, and hospitals to obtain demographic and confidential patient information.
- Complete daily, detailed data entry and processing of a high volume of disease case reports and outbreak surveys into multiple databases.
- Transcribe information from the Disease Report (telephone) Line multiple times a day.
- Ability to drive a King County vehicle to pick up lab specimens at various locations, which may include private residences and deliver them to laboratories. This may involve working after business hours during nights and weekends.
- Process travel paperwork for Section in Sharepoint and ensure compliance with Department and County rules and regulations
- General office support such as faxing, heavy filing, schedule meetings and interviews, purchase goods and services, following up with maintenance service or repair if needed.

- Experience, Qualifications, Knowledge, Skills
We are looking for someone who has:
- Demonstrated ability to provide strong excellent customer service with diverse clients, under varying degrees of stress, with discretion, patience, etiquette and professionalism, in person and over the phone in a fast paced, high volume work environment.
- Ability to work both independently and to work positively within a team environment maintaining professionalism.
- Ability to establish and maintain effective working relationships with the public and fellow employees.
- Excellent strong interpersonal communication and conflict resolution skills.
- Experience working with electronic health records and electronic health reporting systems in a healthcare setting or public health within the last 2 years.
- Working knowledge of medical terminology related to communicable diseases.
- Ability to gather, organize and evaluate data, utilizing intermediate skills to track, evaluate and report quantitative information.
- Skilled at problem-solving, troubleshooting, organizing, prioritizing and completing multiple tasks simultaneously, ability to adapt to changes in workloads demands.
- Proven ability to enter a high volume of data promptly and accurately.
- Intermediate Microsoft Word, Excel and Access skills and the ability to quickly learn new computer software programs.
- Valid Washington State Driver's license required. Must be willing to drive to collect/distribute specimens within King County during and after business hours – including weekends and nights.
- Demonstrated ability to move up to 25 pounds in order to move boxes, retrieve health records, replenish office supplies with or without reasonable accommodation. This may involve intermittent lifting, standing, stooping, bending, reaching and extensive walking during the course of the work day.
Desired Qualifications:- Experience working with or in a workplace setting serving a diverse and/or underserved population under sensitive and stressful situations.
- At least 1 year experience with general administrative office duties such as sorting and distributing mail, faxing, scanning and photocopying documents, setting up printers and copiers, filing (high volume documents), sending and scanning confidential documents via secure email, scheduling meetings and interviews (via Skype for Business/Microsoft Outlook), and taking meeting minutes.
- Within the last 5 years a minimum of 2 consecutive years of demonstrated experience performing high volume data entry (experience in using 10 key).
- Within the last 5 years a minimum of 2 consecutive years of demonstrated experience working in a busy office setting with high volume of calls, answering and triaging multi line phones.
- Within the last 5 years a minimum of 2 consecutive years of demonstrated experience in a health care field or setting working directly with medical providers and laboratories (HIPAA training/certification).
- Working knowledge of paper and/or electronic Medical Records.
- At least 1 year demonstrated knowledge and experience using the Washington Disease Reporting System (WDRS) database electronic surveillance system and/or CD Database system.
- Working knowledge of Oracle Business Systems
