Administrative Specialist II
- Summary
The Department of Local Services, Permitting Division is seeking an Administrative Specialist II. The person in this role interacts with customers to provide and process information in response to inquiries, concerns and requests about the Department's permitting process and services in particular and other King County services in general. The Administrative Specialist II will be part of a support staff team in the Permit Center and provide administrative support to the Department's public service functions.

ABOUT THE DEPARTMENT
King County is the local service provider for roughly a quarter-million people who live in unincorporated parts of the county. If all of these residents lived together in a single city, it would be the second-largest city in the state. The population of our urban unincorporated areas is three-to-four times more diverse than those of our rural unincorporated areas in terms of race, language spoken, and income. The Department of Local Services includes a Director's Office, a Community Service Areas group, a Road Services Division, and a Permitting Division. It provides a single point of accountability for delivery of local services to all unincorporated areas in King County.

- Job Duties
- Department's front reception desk to greet and assist walk-in customers and schedule appointments.
- Provide customer assistance and support with record requests. Some simple research record requests from internal and external locations.
- Administrative permit processing work including file management and distributing permit drop –off information.
- Ensure sufficient copies are updated and available in office locations.
- Regularly gather section work activity information including permit activity, appointment times and other relevant information and prepare summary reports for dissemination.
- General office duties including supply coordination, distributing mail and other duties as assigned.
- Experience, Qualifications, Knowledge, Skills
The ideal candidate will have the following qualifications:
- Office or administrative experience.
- Customer service experience with the public.
- Excellent interpersonal and customer service skills with demonstrated ability to positively interact with a variety of people in a diverse work environment.
- Effective listening skills and the ability to deal courteously, professionally and tactfully with the public.
- Demonstrated ability to be flexible and accommodate changing priorities.
- Demonstrated skill to handle multiple tasks and prioritize work on a daily basis.
- Some keyboarding skills and proficiency in a variety of software programs, including MS Word, Excel and Outlook.
- Demonstrated skill at working independently as well as an effective team member.
- Must be able to read, write, and speak the English language, and have knowledge of proper grammar and spelling.
- Demonstrated punctuality, dependability and excellent work attendance.
- Ability to provide technical customer service support via phone and email, and translate information from technical terms to terms easily understood by a diverse customer base.
- Familiarity with the permit processing and terminology
- Knowledge of records management practices, inventory control and record retention techniques and principles
- Experience with Skype for Business and SharePoint
- Must be able to lift and carry 30 pounds including large rolled plans.

WORK SCHEDULE: This full-time position is overtime eligible. The position is paid on a bi-weekly schedule every other Thursday, comprising a 40-hour work week. The work week is normally Monday through Friday, 7:00 a.m. to 4:00 p.m.
