Administrator I (Bus Operations)

King County Metro Transit is searching for a self-motivated individual with good judgment, an eye for accuracy, and professional integrity to provide administrative support to the Bus Operations Division, serving a dual report to the Service Manager and Base Manager. As the Administrator you will:- Maintain the managers' calendars, provide context for appointments when necessary and assist in tracking appointments. Organize and schedule various meetings/events on behalf of the managers or staff; facility reservations, materials development, and prepare needed documents or equipment.
- Perform complex and critical administrative support, providing lead administrative support and secretarial duties for the managers and other professional staff. Responsibilities will include coordinating and overseeing the work performed by other division administrative staff.
- Use independent judgment to screen telephone calls, emails, and visitors to provide exceptional customer service.
- Serve as liaison between the manager and internal and external groups or individuals.
- Be the delegated authority to independently handle many daily administrative support duties for and on behalf of the managers.
- Responsible for payroll and accounts payable operations; including budget charge coding and tracking by project; budget charge reconciliation for multiple projects in Oracle.
- Prepare, review, and track forms required for personnel transactions, grievances, requisition forms, purchase orders, and expense reports.
- Track project deadlines and meetings, coordinate with internal and external customers, and research and assemble related documentation to ensure managers preparedness.
- Maintain confidentiality by utilizing policies and procedures, while earning trust and respect of co-workers through honesty, integrity, and professionalism in all interactions.
- Organize travel and training for managers and other staff.
- Order supplies and maintain supplies inventory, such as paper, printer cartridges, etc.; maintains office equipment including contractor coordinator when needed for repairs or replacement.
- Other related duties as assigned.
- Have a strong background in senior-level administrative support and are able to use good judgment in making independent decisions with a high degree of tact and diplomacy; OR an equivalent background of education and experience;
- Are customer focused, and have the ability to work with diverse groups of customers in person, via telephone and e-mail, and the ability to maintain an appropriate level of confidentiality;
- Are proactive and able to coordinate a high volume of diverse assignments. Can handle multiple competing priorities, and maintain attention to detail;
- Are knowledgeable about how large organizations work, including how to get things done through formal and informal channels;
- Can be flexible and adapt as required, while working in a multi-faceted and sometimes ambiguous environment;
- Are able to multitask with frequent interruptions and produce under tight or shifting deadlines;
- Are able to handle sensitive information and/or inquiries about sensitive topics from staff or others;
- Have skill in the use of personal computers including intermediate-level skills in Microsoft;
- Excel, Outlook or equivalent, and Microsoft Word;
- Have any equivalent combination of experience and education necessary to perform the job duties

The work week is 8:00 a.m. to 5:00 p.m., Monday through Friday. This position is subject to the provisions of the Fair Labor Standards Act, and therefore is eligible for overtime pay if scheduled.
