WORK SCHEDULE: This career service position is Fair Labor Standard Act (FLSA) non-exempt and is overtime eligible. The regular workweek is full-time 40 hours, Monday through Friday 8:00 a.m. to 5:00 p.m.
JOB SUMMARY: King County Wastewater Treatment Division (WTD) – Your Clean Water Utility is seeking motivated individuals with a high skill set and a history of high performance to support the work of the utility. Come be part of a team focused on turning waste streams into resources and protecting public health and the environment.
This position is responsible for providing complex critical project and administrative support to the Industrial Waste Program of the Environmental and Community Services Section (ECSS). This position will also support staff with diverse, high-profile projects including the Lower Duwamish Waterway Superfund cleanup and NPDES permitting for WTD treatment plants.

- Job Duties
Successful candidates will possess a high level of attention and accuracy on detailed work tasks, great organizational skills, the ability to meet tight deadlines, and ability to prioritize and complete multiple critical requests. This position will require a variety of technical, administrative, customer service, and professional skills to support Industrial Waste Program and ECSS. Success requires timely and accurate project support and ensuring the work group's products consistently reflect the high-quality, innovative nature of work in the section. A good sense of humor is important, as is the ability to be flexible, and to change direction at a moment's notice. Successful candidates will possess the ability to complete complex tasks and projects quickly with limited guidance, react with appropriate urgency to situations that require a quick turnaround, be able take effective action without having to know the total picture, and efficiently and proactively solve difficult or complex problems that affect staff inside and outside the section. The ability to utilize tact and diplomacy in accomplishing all of these tasks is critical.
Job duties will include:- In support of the Industrial Waste Program prepare and track reports and respond to inquiries received by phone or email from external customers.
- Track requests and authorizations to discharge industrial wastewater to the King County sanitary sewer system.
- Edit permits and other correspondence as requested.
- Track discharge violations and enforcement actions.
- Manage the Pretreatment Information Management System database and physical records.
- Respond to public disclosure requests and identify records in response to requests.
- Provide backup support for administrative functions of the section and its work units: screen and manage phone calls and general inquires, receive process and distribute section/unit mail, update and maintain visual management tools.
- Order supplies and equipment, finalizing registrations and assisting in coordinating logistics and payments for internal and external travel, trainings, and webinars, drafting correspondence, scheduling vehicle maintenance, organizing records and server files and other similar responsibilities.
- Troubleshoot general office equipment and obtain repair services when needed.
- Maintain records, create files as needed, store, archive, retrieve, and destroy records according to King County policies. Maintain section/unit databases and electronic filing systems, prepare reports from databases.
- Assist staff in producing internal communication materials, organizing workshops and project- or program-related events.
- Update internal staff websites (e.g. SharePoint). Work with section manager and program staff to proactively identify needs and revisions. Work with others to develop, maintain, and manage webpages and SharePoint sites.
- Provide assistance on meeting logistics for section staff, including sending meeting appointments, making room reservations, and setting up. Coordinate the preparation of agendas and other information for a variety of meetings; prepare meeting minutes. Participate in coordination of events and activities including outreach events, public and stakeholder meetings, retreats, staff team-building events and retreats, and other events as needed.
- Participate in the division's Administrative Team; collaborate with other division administrative staff on division events, reception desk coverage, implementing division-wide changes, and solving administrative support issues. Serve as a backup to cover the WTD reception desk as needed.
- Development and continuous improvement of internal procedures.

- Experience, Qualifications, Knowledge, Skills
Two years of college level training and a minimum of four years of increasingly responsible administrative experience or the equivalent combination of education and experience.
Technical Skills- Demonstrated ability to manage complex informational management databases.
- Knowledge and experience with industrial waste pretreatment programs.
- Experience managing industrial user billing requests.
- Demonstrated ability to learn and meet precise standards of King County's correspondence and legislative guidelines and travel policy with special attention to vocabulary, punctuation, grammar, formatting, spelling, composition, proofreading.
- High level of computer proficiency with Microsoft Office Suite including Outlook, Word, Excel, Access, and PowerPoint, as well as Adobe products. Must be proficient with internet and intranet usage and management of electronic documents.
- Proficiency as a SharePoint user and ability to become a SharePoint site administrator.
- Excellent internal/external customer service and interpersonal skills; is courteous, tactful, helpful, and polite; ability to maintain two-way communication with other staff; is approachable and responsive; convey professionalism in work product, behavior, coworker relationships, and attitude.
- Skill in supporting project research and organization including but not limited to Web research, data collection, spreadsheet management, and collateral review.
- Demonstrated ability to organize and prioritize multiple work assignments and deadlines including the ability to work on a number of projects simultaneously, with high attention to detail and accuracy and within tight timeframes. Ability to adapt to changes and/or seek clarification when in work load, priorities, and deadlines.
- Skill in working independently and in a team environment. Ability to establish and maintain effective working relationships with other staff. Demonstrated ability to take direction from multiple sources.
- Basic accounting and mathematics skills.
- Ability to handle administrative details independently, while exercising good judgment in keeping team members adequately informed
- High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the County
- Established track record in making recommendations for streamlining process and procedures in an effort to efficiently accomplish project outcomes.
- Strong written communication/presentation skills.
- Ability to work with people of diverse backgrounds including staff inside and outside the section, including representatives from other King County divisions, legislative and executive staff, and the public.

HIGHLY DESIRABLE:- Proficiency as a developer and/or administrator of a SharePoint site for employee use.
