Administrative Assistant Position
Mid-sized firm is seeking a self-motivated and dependable individual for our administrative assistant position.
• Answering phones
• Process incoming documents
• Data entry
• Handling mail
• Assisting with scanning, indexing, and other clerical duties
• Database input experience preferred
• Ability to work independently
• Organizational skills and attention to detail
• Ability to multi-task
• Proficient in WP and Word
Prepare and monitor invoices
Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
Providing real-time scheduling support by booking appointments and preventing conflicts.
Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
Screening phone calls and routing callers to the appropriate party.
Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
Schedule appointments and maintain calendars
Schedule and coordinate staff and other meetings
Collate and distribute mail
Prepare communications, such as memos, emails, invoices, reports and other correspondence
Write and edit documents from letters to reports and instructional documents
Create and maintain filing systems, both electronic and physical
Manage accounts and perform bookkeeping
