Job Purpose: This position greets visitors and responds to inquiries via phone, email, in person, or text. The incumbent provides general information about Financial Aid eligibility, Student Accounts, and Student Employment. This position is the first point of contact, maintaining confidentiality and discretion and is expected to function professionally with internal and external stakeholders.
Essential Functions:
Customer Service (50%) • Welcome and greet all visitors with a pleasant and professional demeanor, while maintaining the reception area, to include aesthetics, tidiness, and appropriate decorum. • Stay apprised of various programs, their basic eligibility requirements, and application procedures. • Maintain a positive, empathetic, and professional attitude while providing information to students and facilitates communication between prospective students, staff, enrolled students, parents and the general public. • Respond promptly to inquiries, providing service through a variety of mediums including walk-in, phone, email and text. • Demonstrates familiarity with the technology used to assist with processing information especially the administrative computing and documenting imaging systems.
Administrative Support (25%) • Serves as a generalist, responsible for knowing all aspects of processes relevant to the office (to include federal and state regulations, policies, departmental and institutional procedures and technical functions). • Performs a wide range of advanced administrative duties of complex and/or confidential materials, requiring independent judgment and initiative on assignments that are sensitive in nature. • Works collaboratively with the Division partners to promote inclusion and support a diverse group of prospective undergraduate, graduate students and their families, recognizing each person’s unique needs. • Perform complex tasks such as merging and sorting, integrating text and graphics, and helping to generate direct mailings, forms, flyers, and other documents. • Plan, set-up, monitor departmental events and meetings. • Maintains professional and accurate records, confidential reports and information, both in electronic and written format. • Scheduling of appointments, calendars, meetings, including the procurement of logistical needs. • Attends all staff meetings, division meetings, and University events as directed by the Assistant Director, Director, and/or Dean in support of the University’s mission. • This position may be asked to assume additional responsibilities in support of the Division.
Operational Specialist / Budgetary Functions (15%) • Serves as the first point of contact and manages data analytics, imaging and processing for: Loan Borrower programs and loan monitoring systems. • Student Employment on and off campus collaborating with internal and external supervisors. • Student Accounts payment management systems. • Student and family financial records to ensure regulatory compliance. • Provides support during peak workload periods and executes special projects at designated times of the year. Other Functions • Works on assignments in support of the Gonzaga Mission. • Conducts oneself professionally, recognizing the inherent dignity of all individuals; promotes professionalism with colleagues. • Work collaboratively with University partners to promote inclusion and support a diverse group of prospective, undergraduate, graduate students and their families, recognizing each person’s unique needs.
