We have an exciting opportunity for a TEMPORARY Administrative Specialist/Executive Assistant.
This highly visible position at the University of Washington Medical Center (UWMC) works independently to perform a range of complex, executive level administrative and development activities. The individual will coordination with Executive Leaders, external state and national regulatory agencies and School of Medicine representatives. The purpose of the position is to perform professional level management support for executive leadership at the University of Washington Medical Center.
The position requires a high degree of personal initiative, flexibility, and personal judgment in all assignments, strong communication skills, ability to organize and prioritize tasks to ensure smooth work flow, excellence of work standards, and an active interest in providing strong customer service. The position requires an above average ability to adjust to rapid changes, all of which are continuing challenges. Performs all duties in a manner that promotes a team concept and reflects the mission, vision and values of UW Medical Center. The confidential nature of the work this position supports cannot be stressed highly enough.
The position is responsible for coordinating and facilitating executive level support activities and special projects for the Executive Director, Associate Administrators, Assistant Administrators, Medical Directors and the Project Management Organization. This position will provide responsive, independent, and effective administrative support in a highly confidential and professional manner.
The Administrative Specialist must work independently to perform a range of complex, executive-level administrative and development activities to keep a number of different budgets, gift funds, programs, and PIs running on schedule while simultaneously undertaking efforts to grow or broaden these programs. They have delegated authority to make commitments that affect patient care services, and as such, the Administrative Specialist must exercise independent judgment and discretion.
REQUIREMENTS:
Bachelor's of Science or Bachelor of Arts
4-5 years administrative support; highly confidential personnel or medical information review. Candidate should demonstrate progressively responsible administrative/project coordination for a large, complex organization.
Equivalent experience may substitute for degree requirement.
Demonstrated ability to successfully handle highly sensitive matters in order to coordinate and facilitate complex union / labor reporting and analysis, extensive labor relations documentation preparation and review
Demonstrated ability to operate with a sense of urgency to support and/or facilitate complex meetings and outcomes/action plan time parameters required by patient care services
Exceptional interpersonal communication with all levels of leadership, staff and physicians in order to competently facilitate difficult discussions and move toward positive resolutions
Demonstrable experience indicating commitment to effective collaborative relationships and teamwork; respectful and effective communication with all levels of leadership, staff and physicians
Two years of progressively responsible professional experience within office administration and/or management. Advanced skills with MS Office software and scheduling software
