Treasury has an outstanding opportunity for an Administrative Specialist. Reporting to the Associate Vice President, Finance, this position independently provides high-level administrative assistance to the AVP and the Treasury Office, performing and/or following through on all administrative functions of the office in a professional, timely and efficient manner.
The position has frequent contact with the offices of the President, the Provost, offices reporting to the VP Finance and other administrative offices; members of the Board of Regents; students, faculty and staff. It requires a thorough understanding of the University's senior management structure and relationships and the manner in which decisions are made at the senior and Board of Regents' level. In addition, the individual must be adept on a variety of UW systems and an expert at managing very complex calendars.
DUTIES & RESPONSIBILITES
Manage complex day-to-day schedule of the AVP, constantly reprioritizing to meet job demands. Using knowledge of AVP's priorities, review, triage, and respond to inquiries by mail and email. Make travel arrangements and process reimbursements. Provide support to special projects as assigned. Recruit and hire additional administrative support if and when needed.
Provide administrative support to the Treasury Office, including complex meeting scheduling, travel arrangements and process reimbursements. Participate in Treasury Office team meetings and plans. Process quarterly Externally Managed Trust distributions. Prepare board level presentations including graphical illustrations of data and concepts. Manage central debt, endowment and Life Income files.
General Treasury Office duties, including ProCard purchase reconciliation, purchasing supplies and equipment as needed. Also may assist with general office coverage and support as necessary.
Provide administrative support to the Vice President for Finance as necessary.

REQUIRED QUALIFICATIONS
Bachelor's Degree and five years of progressively responsible administrative support. Proficiency in Microsoft Office suite of products; critical thinking skills and problem-solving abilities; self-directed and proactive; service orientation; strong orientation toward managing details; superior follow-through; excellent oral and written communication skills; exemplary ability to work in a team environment; ability to work in a fast-paced environment while balancing a multitude of tasks; must maintain high degree of confidentiality.
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
DESIRED QUALIFICATIONS
Knowledge of the University of Washington desirable; experience with high-level Board committees or other decision-making bodies; experience creating management presentations; interest and experience with charts and graphs; flexibility to work the hours necessary to get the job done. Ability to work effectively with a team of administrative support staff.
