The UW Department of Environmental and Occupational Health Sciences (DEOHS) Continuing Education Programs reflects the DEOHS commitment to serve the on-going and evolving educational needs of workers, business leaders, and occupational health and safety practitioners. The DEOHS Continuing Education Programs deliver high quality professional development courses, build partnerships, and engage regional communities to promote safe workplaces and sustainable environments throughout Washington, Oregon, Idaho and Alaska. The DEOHS CE programming reflects an in-person and on-line portfolio of unique and emerging course topics as part of an overall federal graduate training grant housed in DEOHS (ERC), state and federal OSHA training courses, and industry and governmental contract courses. The ERC Courses, reflecting unique curriculum tailored to emerging health and safety issues in the Northwest, are provided through approximately 150 courses to 3000 clients per year. The OSHA courses with curriculum aligned with pre-determined OSHA content and deliverables, number about 300 courses per year with enrollments of about 2000 students.
The Department of Environmental and Occupational Health has an outstanding opportunity for an Assistant Director of Program Operations.
The department is seeking a full-time Assistant Director to oversee the day-to-day administration across the activities of the DEOHS CE program with a particular focus on project management, parallel event timelines, and limited staffing resources. The Assistant Director collaborates with the faculty and staff leadership to assess broader strategic planning and provision of professional education via emerging technologies, workflow efficiencies, personnel management, programmatic marketing and financial sustainability. Specific duties include:
Programming & Event Timeline Development: Manage schedules and workflow across the Centers housed in the department’s CE program. Review current practices and project tracking software to determine best methods; work with teams to implement across the CE programs; conduct intermittent assessments to ensure optimal workflow and use of staffing time and expertise. Provide written and verbal presentations regarding improvements, challenges, and solutions. Provide project management to ensure that deliverables and timelines are maintained. Conduct continuous assessment and problem-solving balancing technologies with dynamic, unpredictable variables (instructor submission of materials, staff motivation and adherence to project management techniques, client enrollment, and sponsor requirements).
CE Program Day-to-Day Operations and PNW OSHA Education Center Management: Manage the day-to-day program needs interacting with faculty, staff, students, granting agencies, regulators, and interested stakeholders. Serve as a member of the CE website working group providing in-put regarding client/user groups needs and contribute to site maintenance and troubleshooting during the conversion. Specific to the PNW OSHA Education Center, ensure compliance with the OSHA Training Institute Education Center (OTIEC) program requirements. Respond to audits by the federal OSHA Directorate of Training and Education (DTE) of course delivery, procedures and operations. Oversee the gathering, tracking, and analyses of course data and prepare reports submitted to the DTE. Oversee the OSHA Outreach Training Program for Region 10. Review prerequisite verification forms and approve/deny trainer course registrations. Deliver in-class presentations to outreach trainers detailing Outreach Training Program recordkeeping requirements. Audit outreach trainers. Supervise the processing of email and other correspondence, curriculum updates, recordkeeping and archives. Manage instructor assignments, compose, and send letters of agreements to the course instructors. Coordinate the PNW OSHA Education Center certificate programs including reviewing applications and student completion requirements. Lead the development and publication of annual training calendar, including web posting. Represent PNW OSHA Education Center at national OTIEC Directors Meetings. Network and coordinate with the OSHA Region 10 office in Seattle and the sub-area offices in Boise, Anchorage and Portland. Coordinate with Washington Labor and Industries, Oregon OSHA and Alaska Occupational Safety and Health (AKOSH) representatives. Manage the PNW OSHA self-sustaining budget (approximately $1M per year revenue) working with the Director and finance analyst to review revenue and expenditure details; serve as one of the budget delegated procurement approvers; conduct broader multi-year strategic financial planning for the program to ensure financial sustainability; and participate with CE program leadership to integrate financial resources into the whole program budget.
Human Resources: Serve as the direct supervisor of multiple continuing education staff members including two full-time continuing education coordinators (working titles: Marketing Manager, PNW Center for Occupational Health and Safety Coordinator); one part-time continuing education specialist (PNW OSHA instructor and OSHA manual technical editor); one full-time program assistant, one project appointment, and multiple student hourly appointments. Activities include managing performance issues and workload assignments and priorities; conducting leave approvals and position changes; conducting performance evaluations and tracking accurate position descriptions; integrating staffing considerations into strategic planning and day-to-day management considerations; and working with department Administrator and human resources staff to initiate and conduct hiring for new positions.
CE Program-wide Strategic Planning: Serve as a member of the CE programming and strategic planning team to consider multi-year approaches and implementation to the CE offerings and events as well as integration of emerging technologies. Activities may include managing external and internal committee meetings and subsequent discussions regarding the strategic plan and implementation in coordination with the overall staffing capacity, parallel timelines, and sponsor requirements and accountability. Collaborate to generate written plan summaries, distribute to various stakeholders, and implement intermittent assessments to measure the success of the plan or need to revise aims, schedules or other aspects.

Qualifications:
Education/Experience: Master's Degree in business, human resources, organizational development, education or related field and a minimum of two years of experience supervising two or more permanent salaried personnel. Proficient in project management and use of on-line project management programs such as Microsoft Project, Asana, Trello, or similar product. Experience with web-based maintenance, preferably Drupal. Proficient with Microsoft Office products including Word and Excel. Experience with professional education/adult education, occupational health and safety topics.
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
