Procurement Services has an outstanding opportunity for an Assistant Director, Payment Operations.
Procurement Services at the University of Washington includes Accounts Payable, Global Services, and Card Services. These activities are in support a variety of payment methods to University departments and staff. This position supervises and directs the accounting staff responsible for these activities, and also works closely with other teams within Procurement Services to coordinate activities as it pertains to ensuring tax compliance, customer service, system enhancements, and supplier enablement.
This position executes University policy and state regulation around accounting activities, therefore acting as an internal consultant to leaders across campus who seek guidance on payments/expense accounting. This position provides strategic direction to UW departments, and develops interest and expertise of UW departmental business activities. This position provide critical compliance oversight and provides high-level guidance to a team of accounting professionals who are responsible for executing on behalf of the University of Washington.
DUTIES & RESPONSIBILITIES
Direct the day-to-day operations within the following departments:
This position supervises two Managers who each have a team of several direct reports. Total span of control is approximately 15 FTE. Support development of operations for a dynamic and knowledgeable team. Interview and make hiring decisions; coordinate onboarding and training; communicate clear performance expectations; give frequent constructive feedback; conduct performance reviews; identify needs and opportunities for employee development; recommend corrective action as needed. Coordinate celebrations to recognize team accomplishments. Provide ongoing direction and subject matter expertise to employees to ensure compliance with policies and state regulations.
Analyze data and establish mechanisms and reporting to review and follow up on assigned work within unit ensuring accuracy and timeliness of services to meet customer needs. Develop metrics and dashboards around team activites that serve as both a reporting tool and a mechanism for accountability. Establish review and control procedures to assure that appropriate internal controls are in place.
Participate/lead process improvement team and projects. Participate in Organization wide leadership activities including strategic planning. Build professional and technical expertise by attending educational workshops; review professional publications; establish professional networks; and participate in professional associations.
Interpret University and state policies/regulation for staff, faculty, and suppliers. Stay up-to-date on changing regulations, and work with team to determine how to incorporate changes in policy/regulation into procedures. Work with team to determine mechanism for communicating changes/updates out to campus users.
Recommend, develop and implement new or revised policies and procedures. Utilize internal and external resources, such as the Administrative Policy Statements, peers, professional organizations, and websites, to provide value-added advice and guidance to customers for their procurement needs.
Investigate and resolve issues or complaints from customers and suppliers.
REQUIRED QUALIFICATIONS
Bachelor’s Degree in Business Administration, accounting or related field and five years’ relevant experience.
Professional financial operations experience including a minimum of 2 years management and supervisory responsibilities.
Demonstrated customer service skills and leadership in a high volume, time sensitive environment.
Excellent written and verbal skills are essential.
Proven ability to perform basic data analysis.
Demonstrated success with project management and process improvement initiatives.
DESIRED QUALIFICATIONS
MBA or CPA.
Previous Procurement experience.
