The Department of Ophthalmology currently has an outstanding opportunity for an ASSISTANT TO THE CHAIR.
This position provides executive support for the Chair and Director of the Department of Ophthalmology. Given the large scope of the Chair and Director’s positions, this individual has a highly complex job. The individual in this position displays excellent contextual and strategic understanding of the priorities of the Chair's office and those of the Director as well as the Department and how these fit into the University as a whole.
Job Description:
This individual must have a high level of professionalism and maturity in order to manage confidential information, i.e. knowledge should not affect judgment, activities or attitude toward individuals. Additionally, the individual in this position is privy to highly sensitive information and must know when/with whom to discuss issues and when to maintain the strictest confidences, balancing each aspect with precision and sensitivity as well as absolute discretion. S/he is responsible for assuring that the Chair's office is viewed in the highest possible light by demonstrating exceptional professionalism and dedication to excellence.
S/he must be comfortable and able to speak for the Chair and Director in their absence on matters within the scope of this position. S/he must have the absolute confidence and trust of the Chair and Director and must regularly exercise independent judgment in a variety of arenas.
This is a senior administrative support position within the Department and as such must provide an excellent example for fellow staff members. This position will partner with department managers to ensure office administrative process runs seamless and work with all staff to ensure that office administration is streamlined.
Administrative Support to Chair and Director:(60%)
Individual in this position must accurately manage the office of the Chair and Director, including management of time and schedules, requests that come in and the flow of information to and from the office.
Project and Event Management: (15%)
The individual in this position is responsible for oversight of projects and events of significant size and scope for the Department of Ophthalmology on School-wide or University initiatives.
Projects vary, but include independent organization and management of Department initiatives and events, i.e. annual faculty retreat, and ad hoc events. These events may also include lectureships, providing staffing for school-wide committees when Director and/or Chair function act as a committee head. This individual must be able to manage these projects in light of all other priorities and keep them on time, on task and on budget.
Communication Management: (15%)
Individual in this position displays excellent contextual and strategic understanding of the prioritiesof the Chair's office and the Department and how these fit into the larger University. Additionally, this individual must exhibit excellent communication and interpersonal skills in many different contexts.
