UW Medicine Compliance has an outstanding opportunity for an Compliance Education & Training Analyst.
In general, UW Medicine Compliance Analysts are responsible for performing daily activities required to fulfill the goals, work plans, initiatives, and duties related to a specific Compliance program element or content area. All Analysts provide analysis, research and support for the development, implementation, and maintenance of program elements, including policies, regulations, procedures, work plans, audits, complaints, inquiries, education and training enrollment and completion data, and risk assessments.
Analysts work closely with clients, stakeholders, customers, vendors and other team members to analyze, develop, and create Education, Training, and Outreach (ET&O) business processes, analyzing and developing user requirements and functional specifications, implement curriculum testing and prepare reports on learning materials results for the UW Medicine Compliance executive leadership team including the AVPMA/CCO of UW Medicine.
Analysts must think tactically and strategically, attend to details and follow up on project requirements and assignments; work collaboratively with others in an effective manner to facilitate problem solving. Communicate effectively orally, in writing and graphically. Facilitate and participate with teams and groups to achieve results. Recommend, improve or create new processes to support collection of data or enhancements used by the department.
Analysts are part of a team of analysts that deliver unit-based management initiatives and process improvement projects, participate in system-wide initiatives and projects, and provide project management as assigned.
Analysts conduct needs assessment and project scoping and manages projects on behalf of UW Medicine Compliance ACO. Analysts aid in identifying and ensuring the leadership strategies are facilitated in to deliverables and are of the required quality, i.e. are capable of delivering the benefits defined in the business case, and produced within the agreed time and cost. Additionally, this position gathers and assimilates copious amounts of information and data sufficient to develop position statements/papers/reports and recommendations.
RESPONSIBILITIES
Education, Training, & Outreach (ET&O) Coordination
Assist with the development and management of the UW Medicine Compliance education and training curriculum with additional specific focus on UWP specialty education.
Manage and maintain the annual approved compliance learning calendar, advancing the schedule in accordance with the UW Medicine Compliance Work Plan.
Develop Compliance curriculum design standards, including brand awareness, content elements (goals/objectives), and quality checks.
Develop and document policies, procedures job aids, and process flows as needed to establish consistent use of the learning material/processes.
Develop and analyze the business process for the education and training status reports reflecting trainee activity attendance and certification to make enhancement recommendations.
Manage the instructional designer(s) and compliance subject matter experts to create/modify e-learning modules.
Conduct compliance education and training audits and make recommendations to minimize non-completion.
Other related duties as assigned.
ET&O Audience Identification
Analyze UWPhysicians, UW Medicine and UW HIPAA designation constituent groups in an effort to design, document and maintain enterprise-wide audience identification algorithms for associated compliance training requirement methods, for all workforce member types, including community providers that practice in one or in multiple locations, as well as transfer throughout the system.
Collaborate in the development of audience identification and deployment strategies of enterprise-wide training initiatives and plans.Prepare and analyze the trending reports for UW Medicine Compliance leadership to illustrate common trends, issues, training and enhancement needs/requests, and overall end user feedback about the audience/training assignments with specific additional focus on UWP reports.
Conduct analysis of trainee audience audits to confirm alignment of assignments, establish, refine and maintain standards for aligning compliance education assignments, scheduling and delivery logistics, capturing statistics and recommending programmatic changes after analysis of data.

ET&O Assignment Management (Learning Management System(s) Registration)
In collaboration with the IM/IS analyst, analyze requirements to develop audience configuration specifications for entity specific and enterprise-wide compliance education and training initiatives.
Audit and modify to ensure education/training initiative audience mapping is accurate.
Manage documentation of audience assignment for each course, ensuring accuracy consistent with curriculum.
Analyze registration audit reports to identify gaps and non-completions for follow up with learners and managers.
Collaborate with IM/IS analyst and stakeholders to obtain requirements for education and training reports.
As necessary, act as backup to the IM/IS analyst to manage monthly education and training completion report creation/preparation.

Information Management
Ensure continual calibration of the UW Medicine Compliance Education, Training and Outreach strategic plan to align with the goals and objectives as established by the UW Medicine leadership oversight committee, including UWP leadership.
Analyze training statistical and synopsis reports for insertion into all committees and documents where Compliance reports on such activity (UW Medicine senior and entity-based leadership reports).
Catalogs and maintains the regulatory mapping for all compliance-related education and training.
Function as the data steward for the UW Medicine Compliance ET&O database, ensuring accuracy of content including but not limited to audience mapping, training activities and enterprise-wide compliance-related outreach.
Establishes and assures version control of education and training material (e.g. curriculum).
Serve as staff to the UW Medicine Compliance Education and Training Committee, establishing and managing information management tracking and status report infrastructure.
ET&O documentation, registration, assignments and completions, status and compliance rate communication coordination.

Project Management
Participate in a variety of projects, actively contributing to timeline development, critical path identification, communications and reports. May lead small projects, and serve as junior project manager for enterprise-wide projects.
Ensure completion of standard deliverables, as appropriate.
Obtain client requirements, memorialize project goals, identify scope, and outline constraints along with risk mitigation strategies.
Create project plans and charters in consultation with subject matter experts.
Develop, memorialize and track project plans, work plans, and communication plans to support multiple UW Medicine Compliance projects, initiatives, and stakeholders and partners.
Administer projects including timeline development, project milestones, and project governance.
Develop/facilitate stakeholder meetings to support the strategic goals and objectives of the UW Medicine Compliance program, and identify issues, track, assess risk and escalate as needed.
Communicate project updates to project team and executive leaders.
Participate in change management in consultation with the UW Medicine executive team, project owners, and various enterprise-wide stakeholders.
Research, create and maintain project management and communication tools related to project planning and project status through the use of meetings, webinars, dashboards, and SharePoint sites. Use tools to communicate with all levels within the organization, including those with limited IT/LMS knowledge.
Develop and maintain a detailed workplan to include projects, initiatives, and tasks; utilizing tools and analyzing data in order to generate status reports and task reminders; monitor timelines as needed; manage associated documentation; report on resource viability; and make recommendation to project mitigation as needed.

REQUIREMENTS
Bachelor's degree in Education & Training, English, Business Administration, Healthcare, or related field.
Two to three years increasingly responsible experience including online education and training development and deployment, project coordination, statistical analysis, policy development, manual process enhancement, etc. Demonstrated ability to analyze and present complex data to non-technical audiences.
Advanced computer skills including knowledge of Microsoft Windows products including Access, Excel, PowerPoint, Outlook, Visio and Project. Knowledge of Adobe software including Captivate, Articulate and Acrobat. Understanding of software as a service (SaaS) applications such as SmartSheet.
Demonstrated problem-solving and sound judgment to include discretion and initiative in carrying out responsibilities in a confidential manner.
Demonstrated ability to utilize computer software, databases, project management software, communication programs and the Internet to accomplish responsibilities.

DESIRED QUALIFICATIONS

CONDITIONS OF EMPLOYMENT
UW Medicine Compliance manages a significant volume of audits, inquiries, consultations and deadlines regarding regulatory compliance education. Work priorities shift in response to fluctuating demands. Full time schedules are assumed to be at least 40 hours, however, incumbents are expected to remain flexible to accommodate the unit's goals and mission, and to work beyond their normal schedule when necessary. Ability to provide transportation to travel as required to accomplish the goals of the unit.
