The Office of Admissions has an outstanding opportunity for a CRM Systems Administrator. Admissions, a unit within the Enrollment Management, supports the Provost as well as the University of Washington community.

This position reports to the Director of Admissions for Information & Systems, and is responsible for working with the UW-IT and the Admissions technical team to continue to refine the current electronic application review process, work with the users to understand their needs and challenges, then identify and translate needed enhancements for further evaluation and development. This requires monitoring the system to ensure end-user performance is maximized and that data integrity between the multiple systems is as high as possible. This position is tasked with ensuring that the end users’ have the utmost trust in the systems, process, and data they are using to complete their work.
This position will ensure that availability of a critical system remains as high as possible, which the entire department depends on to do the majority of their work. It will also make certain that personal data submitted by student is kept secure, disseminated through the university appropriately, and only used to communicate with the intended, appropriate parties.
Duties and Responsibilities include:
Management of Application Processing Systems - End user support for electronic review system
-Troubleshooting, triaging, and tracking all issues and change requests from CRM and SDB for application processing, document intake, integration Working with vendor support on issues involving non-UW processes Assist all end user tasks, leading user training to empower staff to take on tasks as they can, and develop internal documentation where needed
-Ensuring data integrity is maintained between all systems
Optimizing Application Processing User Experience
-Developing best practices for processing users, including documentation and training
-Updating user experience in the product during application processing to make it quicker, simpler, and more intuitive Troubleshoot workstation and server performance issues as they arise, elevating to appropriate parties where necessary
Oversight of Application Processing Communication
-Manage quarterly communication update process, including all jobs, templates, process, schedules, and technical tools Identify ways to streamline communication management while also looking to increase personalization to applicants
-Oversee daily outgoing communication jobs to ensure all intended groups receive the correct messaging
-Work with communication supervisors to create easy to maintain communication methods and best practices
-Work with the UW-IT team to assess how changes in future Vendor upgrades will impact communications
Sharing Data with External Groups
-Transmitting data to vendors for applicants, prospective students, travel, and other information as they arise and importing results, both scheduled and as needs arise
-Transmitting data to departments for departmental reviews and communication with enrolling
-Transmitting data and reporting aggregate information to external and internal parties
Development of Application Processing Reporting
-Processing reports to assess our in progress work
-Year-to-date and census day reports to identify characteristic of the incoming classes
-Audit reports to verify that our data is consistent
· Bachelor's Degree in Computer Science, Software Engineering, or technical discipline.
· Two to three years’ experience in the following:
-System administration of a large volume Customer Relationship Management software service
-Experience developing with C#, Java, C++ or similar software development tools
-Experience developing complex SQL reporting and integrations
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
· Experience with Microsoft Dynamics CRM administration
· Experience with Microsoft Visual Studio development
· Experience with Microsoft SQL Server management and development
· Experience with Microsoft server management and troubleshooting
· Experience with higher education enrollment technology, including Admissions processes and the Ellucian Recruiter platform
