The University of Washington’s Office of Human Subjects Division within the Office of Research, has an outstanding opportunity for a full time Document Manager based at UW Tower.

The Document Manager (DM) manages and is responsible for all aspects of the documents owned by the Human Subjects Division (HSD), including: identification, evaluation, and prioritization of document needs; writing content; managing and coordinating document implementation; management and continued development of a SharePoint document library; and (in most cases) the production of documents.
The DM is responsible for the materials that are essential and fundamental components of the UW’s Human Research Protection Program, which oversees the rights, and welfare of participants in UW-conducted research. These materials are required by the federal regulations that govern human subject research. “Documents” comprise hundreds of items such as Standard Operating Procedures (SOPs), policies, guidance, templates, forms, interactive tools, worksheets, and checklists for use by UW researchers and research staff, HSD staff, UW Institutional Review Board (IRB) members, other UW compliance offices, and the public. They are in a variety of formats (e.g., Word, PDF, Visio, PowerPoint, Excel, html webpages). They are made available to users primarily through electronic methods such as website postings, SharePoint document libraries, and computer servers. The documents are used for multiple purposes: work tools for HSD staff and IRB members; interpretation and guidance about ethical and regulatory issues; education and training of HSD staff, IRB members, and researchers in highly specialized regulatory and ethical topics; fulfillment of federal regulatory requirements; and information for participants in UW research.
RESPONSIBILITIES:
Content creation
Use independent judgement to determine and develop materials to address specific needs, topics, and goals. Write new and revised materials, using consistent style and formatting across documents. Do independent research as needed such as interpreting national regulations and finding guidance prepared by national agencies, or contacting offices similar to HSD at other large U.S. research institutions. Obtain input and feedback, using judgment and priorities to determine whether and how to incorporate it. Publication of the completed materials may be the responsibility of the Document Manager or others at HSD, depending on the nature of the materials (e.g. a Word document versus a PDF document containing “hide-show” programming).
Ongoing problem and needs assessment
The DM will develop approaches and methods for ongoing identification, evaluate, and prioritization of the need for new or revised materials to address regulatory requirements, gaps, and enhancements. Actively and frequently: (1) solicit input from user groups; (2) seek out communications and materials from federal regulators and national interest groups; and (3) manage questions, problems, and requests related to documents. In addition, establish and manage a regular review-and-revision cycle for existing materials that draws upon the expertise of others at HSD as well as the Document Manager. Revision includes consideration of content but also style and organization of information to optimize comprehension, using initiative to develop and maintain expertise in these considerations. Evaluate and prioritize. Work collaboratively other UW compliance offices in situations where the new or revised policies or procedures intersect with the work of other UW compliance offices.
Manage and coordinate document implementation
Identify and manage the impact of new and revised materials on other documents, the HSD and Office of Research websites, the Zipline e-application system, and processes. Identify any needs for communication, education and training, and change management; initiate and manage actions by HSD management and team leaders to coordinate the development and timing of communication, education and training, and change management activities.
Document management system
Complete, manage and use independent judgement to enhance a partially implemented SharePoint-based Document Library system for materials creation, revision, and access. Independently develop and manage ongoing methods to evaluate and improve the usability of the system for the end users.
Audit participation
Provide the primary support to the HSD Director in preparing for and managing audits from national regulatory agencies. This includes the ability to quickly create or revise documents before the audit conclusion to address perceived gaps and thereby potentially prevent or ameliorate an audit finding. Post-audit: If necessary, participate with HSD management in preparing a Corrective Action Plan to send to auditors.
REQUIREMENTS:
The qualities of the successful candidate will include most or all of the following: (1) comfort with making judgment calls in ambiguous situations; (2) highly organized at tracking and prioritizing work; (3) outstanding attention to detail; (4) ability to write and speak in concise, accurate, and intelligible manner; (5) ability to work independently with minimal supervision; (6) analytical and problem-solving skills; (6) diplomatic and professional interpersonal skills; and (8) ability to work well as part of a group.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

CONDITIONS OF EMPLOYMENT:
A standard open-plan office environment. HSD occupies parts of two floors in the UW Tower, a high-rise office building on the edge of campus. Some weekend and evening work may be required (at home or on campus), due to work volume. The UW does not provide employees with free parking; parking is available at the Tower for a fee, and subsidized transit passes are available. Some work schedule flexibility is available and encouraged. Working from home is also available on a limited basis and within certain scheduling constraints.
