The Department of Laboratory Medicine has an outstanding opportunity for a full-time (100%) EDUCATION AND TRAINING COORDINATOR. This position provides effective and timely support to the Education Division of the Department of Laboratory Medicine, UW Medicine under the supervision of the Education/Orientation and Specialist. This position will support the Education/Orientation and Training Specialist in implementing new tracking and training program activities and will serve as a division representative at department and Medical Centers meetings. This position will monitor and maintain tracking of employee completion of safety and compliance training, hospital requirements, and certifications and education credentials. This position will monitor and maintain the organization of the personnel files and ensure they meet policies/regulations set by the Joint Commission, CAP, and the DOH. Lastly, this position will coordinate other activities such as department recognition events and employee orientations and trainings.
RESPONSIBILITIES:
Implements new tracking and training programs and projects (i.e. writing and sending communications, conducting research, monitoring progress through statistical reports)
Serves as a liaison at department and Medical Centers meetings and effectively present division messages and policies/procedures
Serve as backup trainer for the department orientation or other trainings if the Education/Orientation and Training Specialist is not available
Guides employees and managers in understanding and meeting division policies/regulations as they relate to the department, the Medical Centers, the Joint Commission, CAP, and the DOH
Creates and maintains personnel files as employees are hired, transferred, and separated
Files HR, payroll, and education documentation in a timely and organized manner
Archives files when necessary
Maintains the Education database with necessary personnel data
Builds reports and graphs to display information relevant to completion of department division tasks and communicating data to department leadership
Sets up initial and ongoing safety and compliance training for employees in the LMS, MTS, and EH&S
Sets up department orientation onboarding materials and processes for new hires
Assists with updating orientation materials as necessary
Prompts managers and employees to complete education and hospital requirements and deadlines (i.e. onboarding and annual training, TB screening, flu vaccination)
Responsible for preparing and sending MA-Phlebotomy and Surgical Technician certification renewals to the DOH
Responsible for coordinating Lab Medicine Recognition Ceremony preparation and execution by determining milestone awardees, ordering materials, and making auditorium/reception and resource reservations
Coordinates speakers for the ceremony
Responsible for forwarding hospital milestone certificates, gift selection forms, and gifts to supervisors and employees
Responsible for pulling records for Public Service Record audits/requests as directed by the Associate Director and Education/Orientation and Training Specialist
Coordinates room reservations for training events and meetings
Responsible for ordering office supplies and submitting purchases in Purchase Path
Will serve as the main point of contact for all of these assigned duties both with staff and leadership within the department as well as with organizations outside of the department

REQUIREMENTS:
High school graduation or equivalent AND two years of experience in the program specialty.
ADDITIONAL REQUIREMENTS:
Proficiency in Excel.
DESIRED:
Advanced skills with Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook as well as Adobe Acrobat
Ability to build spreadsheets, pivot tables, use equations, and execute email merges
CONDITIONS OF EMPLOYMENT:
This position will be stationed at the department’s Northgate offices. However, it will be necessary at times to travel to other locations including, but not limited to, UWMC, HMC, Roosevelt, SCCA, Fred Hutchinson Cancer Research Center, etc.
