UW Medicine Information Technology Services (ITS) and Pharmacy Services have an outstanding opportunity for a FULL-TIME EPIC PHARMACY ANALYST II (Day Shifts). Reporting to the Pharmacy Informatics Manager, the Epic Pharmacy Analyst II will work closely with the other Epic application teams in support of the EpicCare Ambulatory and Willow applications. This position will provide a cross-functional, knowledgeable, single point of contact regarding Epic clinical applications and clinical workflows used by internal UW Medicine customers. The application environment within UW Medicine includes multiple EMR systems, departmental systems, interfaces, and clinical data repositories.  An understanding of the applications and their integration with Epic is critical to the Pharmacy Analyst II’s success. This position is a critical component of the ongoing implementation and integration of UW Medicine’s electronic medical record (EMR) in support of the organization’s regulatory, academic and financial goals.

DUTIES AND RESPONSIBILITIES:

ANALYSIS, DESIGN AND BUILD: 
The Pharmacy Analyst II obtains a thorough understanding of all aspects of the EpicCare Ambulatory and Willow application in order to analyze, design, build/configure, validate, implement, and provide ongoing maintenance for all EpicCare tools and system functionality. This includes:
• Thorough documentation and understanding of clinicians' practice methods, clinic operations, pharmacy processes and patient interactions, and how Epic functionality supports these processes.
• Work with clinic practices to identify and document requirements for  system changes, workflow changes, and other system design decisions that support clinic operations while maintaining team standards and allowing for sustainable long-term maintenance.
• Work closely with Epic Pharmacy IT teammates to build Epic functionality as defined by requirements analysis and documentation.
• Leverage best practices and documentation provided by Epic through its Epic UserWeb and Community Library.
• Test system changes and assist with development of test plans for usability, performance, and adherence to standards.
• Provide functional expertise to optimize the design and development of systems.

DEFINE CUSTOMER REQUIREMENTS:
• Act as an Epic-certified resource to UW Medicine staff by anticipating and identifying educational, procedural, and functional problems associated with the implementation of new applications.
• Mentor less experienced teammates on how to perform these functions.
• Meet with customers to identify system requirements and escalate issues as needed.
• Set appropriate expectations of customer requirement fulfillment.
• Define screens, reports and processes (manual as well as automated).
• Make recommendations regarding potential systems and the setting of priorities for development and implementation efforts.
• Highlight issues relating to system integration points between other applications or interfaces.

LIASON AND COMMMUNICATION WITH CLINICAL USER GROUPS:                                                  
• Provide “at the elbow” support to new EpicCare users during their go-live phase, including direct pharmacist or technician support.
• Provide supportive and positive mechanisms for reporting application and system deficiencies, and facilitate reporting of suggestions for system improvements.
• Using quality improvement principles, monitor system impact on user and departmental workflows, and incorporate results into system enhancements.
• Attend or lead user advisory committees as required.
• Act as a liaison and/or facilitate communication between end-users and vendor as appropriate.
• Work with internal customers to provide diagnostic assistance and resolution to questions and problems.  This includes assisting user groups with submitting issue and problem reports and routing system problems to other UW Medicine IT Services teams.
• Maintain clear and consistent communication with all levels of users regarding changes to systems.
• Act as central point of contact for best practices and use knowledge of department’s clinical and business processes to translate clinical methodologies into specifications, documentation, and project plans.
• Provide verbal and written communications to end-users and other Epic support staff in a professional manner that focuses on ensuring clear communications and addresses the needs of the recipient.
• Promote and champion Epic Clinical applications during all interactions with users. 

DOCUMENTATION:                                                         
• Document technical and business requirements/specifications for Epic Clinical Applications.
• Document current and proposed data flows, both within Epic and as Epic interacts with other systems and interfaces.
• Identify need for and document support plans.
• Assist with and document the development of standard IT operational procedures.
• Document system changes in accordance with organizational change control procedures.

PROBLEM RESOLUTION:                                                       
• Assist in resolution of application and process problems.
• Perform analysis and troubleshooting for complex application issues to meet established Service Level Agreements.
• Maintain issue tracking (both internally and with vendor) and follow issue tracking policies and guidelines.
• Provide regular status updates to management, customers and stakeholders.
• Work with vendor to set clear problem resolution priorities and communicate these priorities.
• Mentor less experienced teammates on proper issue tracking and resolution policies and procedures.

MANAGE, PRIORITIZE, AND PERFORM PROJECT TASKS:                                           
• Be responsible for the successful completion of project tasks.
• Lead project sub-components that may include cross-functional teams.
• Report progress on assigned tasks to project manager or other designated lead/manager.
• Track detailed status of each task and work with lead, project manager, or supervisor should tasks vary from initial resource estimates.
• Perform, track, and report results of application and system testing.
• Work with designated lead, supervisor, or project manager to prioritize tasks.
• Create project documentation.

OTHER DUTIES (as required):                                               
• Support training and education program as needed.
• Coordinate system information requests and trouble reports, including flow, tracking and prioritization.
• Participate in system management tasks including performance reporting and planning.
• Assist with development of security and confidentiality system standards for applications to meet federal, state, CMS, and JCAHO regulations.
• Follow UW Epic Clinical Applications build standards and change control processes, with a focus on enterprise build and long-term system maintenance.
• Work with manager to set professional goals for career development.

DESIRED:
• Bachelor’s Degree in Health Information Management, Computer Science, Mathematics, or other hard sciences related degree.
• Willow Ambulatory certification achieved through current version of Epic.
• An understanding of Cogito Enterprise Intelligence applications.
• Experience in a pharmacy setting - Inpatient, Ambulatory, Anticoagulation, or Specialty pharmacy.
• Background in an ambulatory setting, preferably in a clinical role.
• 1 year implementing or supporting an Epic clinical system.
• Demonstrated ability to work with and facilitate multidisciplinary clinician groups as part of a clinical information system support.
• Experience educating clinical staff in the use of an EHR system, preferably Epic.
• An understanding of departmental/clinical operations, workflow, policies, and procedures.
• Experience mentoring less experienced team members. REQUIREMENTS: • Bachelor's degree in healthcare or information technology related field
• 2 years recent Healthcare or Information Technology experience.
• EpicCare Ambulatory or Willow certification achieved through current version of Epic.
• Excellent written, verbal and presentation skills.
• Demonstrated ability to be self-directed, escalate appropriately, communicate clearly, learn quickly, with strong attention to detail.
• Demonstrated ability to work collaboratively with customers to build strong and effective relationships through building trust, imparting knowledge, and providing excellent customer service.
• Skilled in use of desktop computers, including proficiency with office applications (e.g., Microsoft Word, Excel, PowerPoint, and Outlook).
• Familiarity with database structures, data definitions and data relationships.
• Familiarity with software development lifecycle.
• Strong interpersonal and communication skills and customer service principles.
