UW Medicine Contracting & Payer Relations has an outstanding opportunity for an Executive Assistant (Administrative Specialist) and Program Manager. Serve as the primary assistant to the Chief Contracting & Payer Relations Officer. Under general supervision, the Executive Assistant provides all levels of administrative assistance to Contracting & Payer Relations in the Finance Division in a combination of functional areas including executive administrative support, budget and record management, file management and compliance, minutes, agenda and report preparation, office management, personnel administration, generalized reporting, audit compliance functions and public relations. Assist in day-to-day functionality of the office environment for the continued production of financial responsibilities of the department.
Calendar Management – Manage the calender of the Chief Contracting Officer and the CFO (as required) and other Director level and above personnel of the department as required. Scheduling complex meetings that often includes coordination of travel arrangements.
Communication liaison for department - Screen, direct, and prioritize calls as established by office policy, maintaining confidentiality and professionalism. Investigate and resolve inquiries/ complaints to determine best outcome.
Budget, Productivity, & Analytics - Participate in preparing the annual budget, productivity statistics, ODB, rounding and other data for UW Medicine Contracting & Payer Relations providing prospective analysis to assist in budget forecasting. Compile, track and provide analysis of statistical data regarding negotiated rate cases involving confidential patient information. Prepare confidential Facility re-credentialing packet with contracted health plans, compiling and assembling various licensing/certifications, ensuring current status of same.
Records Retention - Track all official communications between payers and UW Medicine utilizing tracking tools to record associated events. Organize and maintain required record keeping, ensuring compliance with University policies and procedures.
Internal & External Communication - Interface with the HMC/UWMC/UW Medicine and UW Boards of Trustees, governmental agencies' representatives, senior level management, university staff, outside business entities and patients, as needed.
Committee Coordination - Assist with committees chaired by various Directors, the CFO or the CCO. Schedule meetings; coordinate agenda setting; produce agendas and materials, prepare meeting materials; take/write minutes executive level meetings, etc. Follow-up on action items as necessary. Maintain the permanent records of the committees.
Intranet Management - Maintain and oversee the department intranet pages; edit/create webpages in SharePoint; uploading and organizing documents for hospital-wide access. Prepare/transcribe correspondence, reports, and presentation materials. Support research, planning, and analysis support for special events and projects.
Database Management - Manage the HBI DB for all front line/PFS and Finance as a resource. Manage the contracting workgroups files DB.
REQUIREMENTS:
Bachelor's degree in Business Administration, Healthcare Administration, or other related field AND seven years of progressive responsible experience in fast paced, multi-faceted administrative support role with competing priorities and responsibilities, including at least two years experience as an executive administrative assistant leading administrative office operations.
Ability to practice effective organizational skills so that workload is prioritized and deadlines are met. Ability to balance multiple projects and priorities and meet deadlines in a fast-paced high stress environment. Demonstrated technology/software skills using PC, Laptop computer, printer, scanner, LCD Projector, MS Word, Excel, PowerPoint, Outlook.
An equivalent combination of education and experience may substitute for stated requirements.
