UW Medicine’s Information Technology Services (ITS) department is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), Northwest Hospital & Medical Center (NWH), Valley Medical Center (VMC), UW Medical Center (UWMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM) and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children’s University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research and Seattle Children’s). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all of these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.
ITS is a growing department that implements, deploys and manages highly complex system applications and applications to meet and exceed key IT initiatives that support UW Medicine entities. The need to provide and deploy security engineering services is to ensure that appropriate and effective security controls, techniques and solutions are identified and implemented ensuring confidentiality, integrity and availability of sensitive data. Additional applications and systems are supported through UW Medicine research affiliations such as the Fred Hutchinson’s Cancer Research Center, NIH and other grants, contracts, clinical affiliations and other School of Medicine activities; as well as medical training programs with other institutions such as the Veterans Administration and Madigan Army Medical Center. This position is needed in order to meet federal regulatory requirements under HIPAA, ISO, PCI and other security standards, as well as to ensure the security of systems. Failure to meet regulatory requirements may result in fines, sanctions, loss of public credibility, and other business risks.
The Executive Assistant will play a critical role in managing the day-to-day operations of the UW Medicine information security program. This position will provide executive administrative support for and works under the direction of the UW Medicine Chief Information Security Officer (CISO).
This position is responsible for coordinating and facilitating administrative support activities and special projects for the CISO. This position will ensure effective department operations by providing responsive and efficient administrative support in a confidential and professional manner. Position requires high degree of personal initiative, forethought, flexibility, strong communication skills, ability to organize and prioritize tasks to ensure smooth work flow, excellence of work standards, ability to think critically and problem-solve workflow, and an active interest in providing strong customer service. The position requires an above average ability to adjust to rapid changes. Duties are performed in a manner that promotes a team concept and reflects the mission, vision and values of UW Medicine.
This position requires independent judgment and collaboration with both internal and external partners to proactively manage, analyze, report, and implement the Information Security administrative programs, projects and tasks assigned. This position will also require the ability to navigate complex levels of the UW Medicine environment in addition to working with managers and directors of all UW Medicine entities as well as the UW Office of the CISO. The position will be provided access to restricted or confidential information including: investigation and incident response reports, information security risk reports, information security and UW Medicine strategic plans and initiatives, financial information (or other sensitive materials and information) and attendance at executive governance meetings. The position will be required to maintain confidentiality and follow strict federal and organizational guidelines.
The person in this position must develop supporting documents and maintain a balanced work load to achieve goals in a timely manner without compromising quality. This includes, but is not limited to defining scope and deliverables; developing and managing work plans; organizing, tracking, and aggregating disparate details; communicating responsibilities and expectations; and analyzing progress. The Executive Assistant must be flexible yet focused to take on planned and unplanned priorities and tasks and see them through to completion. This requires the ability to work with cross functional teams, build relationships, and facilitate conversations that involve different perspectives about the information security program. The Executive Assistant must use discretion and initiative to perform duties related to the information security program and ensure a timely and effective response to incidents and problems, exercising a high degree of confidentiality and professionalism.
