UW Libraries has an outstanding opportunity for a Facilities Specialist. This position will proactively work to ensure that the libraries facilities meet expectations of faculty, staff, and students and will participate in all aspects of library facilities projects including daily building maintenance, special projects, renovation, and new construction. Serves as liaison to campus departments, off campus vendors, and the public, advising on Library Facilities procedures and policies. Serves as the Building Coordinator for Suzzallo and Allen Libraries and a consultant for the branch libraries. Oversees, guides and implements programs related to day-to-day building operations and facilities, and collaborates on related long-range, strategic initiatives in a large, complex, world-class research library.
RESPONSIBILITIES:
Planning and oversight:
• Develops and recommends effective strategies to support the work of the unit. Advocate for the adoption and integration of such strategies into service, planning and operations. Conducts ongoing evaluation of the impacts/results of such strategies and recommends new approaches, as needed
• Develops, recommends and writes unit and Libraries policies and procedures in accordance with long-range goals
• Represents the Department on various University committees and directs or serves on Libraries committees and teams
• Defines and executes parameters for monthly reporting for tracking progress
• Oversees the Libraries Room Rental Program for Suzzallo/Allen
• Collaborates with various internal and external stakeholders in long-term space planning and capital improvements including developing, strategizing, communicating and implementing long/short term plans around collections, learning spaces, and staff spaces
• Develops, recommends and implements systems, data and processes that make up the Libraries Emergency Program. Develops and maintains Husky Ready Plan, Emergency Response procedures, Continuity of Operations Plan, and ongoing training initiatives
• Ensures that the documentation of departmental blueprints including occupants, technical and facilities resources, configurations, guidelines and practices are up to date, accurate and useful
• Oversees and ensures Libraries inventory reporting data is collected efficiently and accurately by staff
• Facilitates relevant aspects of Libraries exhibits and events program
• Recommends and executes expenditures for the Petersen/Tower Room endowment [approximately $9500 per year]
• Supervises the Libraries Facilities Program Assistant and Facilities student assistant(s). Establishes work schedules, sets priorities, and monitors quality of Facilities Operations. Monitors and projects the student hourly budget for Facilities Operations and makes adjustments as needed
• Organizes, monitors and facilitates departmental tasks to develop a broad range of policies and practices to ensure fair distribution of resources between all Libraries Units/branches on the Seattle campus
Daily operations:
• Oversees daily Libraries Facilities Operations. Acts as the primary contact for Seattle Campus Libraries staff on maintenance issues ranging from custodial upkeep, maintenance requests and furniture relocation to execution of building renovation projects
• Serves as Building Coordinator for Allen/Suzzallo libraries (550,000 square feet) and is Essential Staff for all 16 Libraries
• Initiates and coordinates maintenance and alterations projects, liaising with Libraries staff and UW Facilities to monitor progress. Utilize FS-Works and other enterprise programs
• Monitors and tracks Facilities charges for the Libraries and justifies expenditures for the Procard system
• Monitors daily building maintenance for the Suzzallo and Allen libraries by Custodial staff and liaises with Custodial Manager.
• Works with Branch Operation Services with respect to custodial and facilities requests and projects
• Approves UW Facilities Services requisitions relating to maintenance and repair projects
• Responsible for all aspects of building access including management of the brass key system and CAAMS key card system.
• Manages equipment and vehicles used in Facilities Operations, and requests service, maintenance, and replacement to keep the services operational. Coordinates relevant requests for Facilities staff.
• Serves as back-up to Director of Facilities, Facilities Program Assistant and part-time Facilities staff as needed
• Assists Program Assistant with room setups and/or office moves as needed
• Understands and abides by the Libraries Personal Communication Responsibilities. Communicates appropriately, effectively and positively. Plays an active role in staying informed and participating in Libraries and unit meetings, activities and events
• Performs related duties as assigned
QUALIFICATIONS:
Required
• Four years experience with educational or institutional facilities management.
• Bachelor’s Degree in Business Administration or other relevant field
• Demonstrated understanding of the importance of the libraries as an inclusive space that meets the needs of a diverse population, and the ability to create a positive and welcoming space for all members of the UW community.
• Demonstrated leadership, including planning and project management skills.
• Strong written and spoken communication skills.
• Ability to effectively troubleshoot and problem solve using a variety of strategies.
• Demonstrated ability to effectively collaborate with a wide variety of individuals.
• Software competency: MS Office, or equivalent tools.
Equivalent education and/or experience may substitute for minimum requirements.
Desired
• Previous experience working in libraries.
• Experience working in or collaborating with maintenance and building trades.
• Active listener who is able to consider situations from a variety of perspectives (patron-centered focus, management, social impacts, etc).
• Broad interest in library services and operations (staffing, services, assessment, technology, trends, etc)
Conditions of employment
• Able to lift 50-60 pounds, drive step van, use of basic hand tools;
