The Department of Pediatrics has an outstanding opportunity for a highly motivated FISCAL SPECIALIST 1 in the Financial Accounting Office. The individual in this position provides fiscal support in areas such as budget maintenance, purchasing, travel, expenditure control and/or fiscal analysis for the Department of Pediatrics. This position will report directly to the Fiscal Specialist Supervisor.
Job responsibilities include but are not limited to:
• Process and track purchase orders through the online eProcurement system and Procard.
• Process petty cash, check requests, check deposits/cash transmittals, purchase order forms, and eProcurements orders (eReimbursements, online invoicing, and eTravel).
• Review and process travel arrangements and reimbursements for UW and Non-UW travelers.
• Manage and reconcile the departmental Central Travel Account (CTA), ProCard, Xmail, and petty cash transactions and prepare monthly reports.
• Reconcile, track, and maintain source documents to the Finance Accounting Office filing system.
• Ensure that all orders and reimbursements are compliant with UW and Department of Pediatrics policies and procedures.
• Respond to questions, analyze, research and resolve reconciliation problems.
• Troubleshoot and resolve problems to support accurate and timely purchase requisitions for equipment, supplies and services.
• Distribute purchase order updates to internal customers.
• Process budget reconciliation on MyFinancial Desktop.
• Process departmental invoices.
• Attend UW Travel and Procurement forums.
• Attend staff meetings.
• Maintain and update informational database in Excel.
• Receive and refer visitors and respond to routine inquiries.
• Process quarterly tuition payments using the UW Student Database System by entering departmental scholarship awards.
• Perform related duties as required.
MINIMUM REQUIREMENTS
• Three years of fiscal record keeping experience, or equivalent education/experience.
Additional Requirements:
• Organized, efficient, adaptable, and willing to learn.
• High attention to detail, excellent communication skills, and customer service orientation.
• Proficient in MS Word and Excel.
Equivalent education and/or experience may substitute for minimum requirements.
DESIRED REQUIREMENTS
• Experience with E-Commerce (ProCard, CTA, eTravel, and eProcurement) Experience with UW Travel, PaymentNet, and UW online financial and purchasing systems: ARIBA Network and MyFinancial Desktop.
