The Office of Research under UW Tacoma Academic Affairs has an outstanding opportunity for a part-time 80% FTE Fiscal Specialist II. This individual will work under the direction of the Office of Research, Research Administrator performing work using knowledge and experience specific to supporting post award grants management activities within the Office of Research for specific campus units. This individual will exercise independent judgment in interpreting and applying University wide rules and regulations associated with research administration. Under direction and supervision of the Research Administrator, this position will perform a variety of moderately complex to complex fiscal administrative support functions such as analyzing and assisting with the development of budgets for grants, contracts, state funds, and/or program funds; monthly reconciliation of sponsored budgets; establishing and maintaining comprehensive fiscal record keeping spreadsheets and systems; analyzing, establishing and maintaining service center and/or self-sustaining accounts; and coordinating diverse unit-wide fiscal support functions such as Workday cost allocations (payroll), travel reimbursement, purchasing and fiscal planning. This position will support multiple Principal Investigators (PIs) within the School of Interdisciplinary Arts and Sciences (SIAS) and PIs housed at the Center for Urban Waters, SIAS research center, where diverse activities such as research, teaching, and community service programs exist and require focused attention. There is potential in the future where additional units may be added to this position’s purview within a centralized service model in the Office of Research.
This position will work with faculty and staff at multiple locations including the Center for Urban Waters (off campus building) and within the Office of Research space located in the Research Commons in the Tioga Library Building (TLB). This individual will play a critical role within the Office of Research administrative team as well as within SIAS’s Dean’s administrative team. The Center for Urban Waters (CUW) is an off-campus research center, located in a LEED-Platinum facility on the Foss Waterway. CUW is a community of environmental scientists, analysts, engineers and policy makers developing creative and sustainable solutions to restore and protect the Puget Sound. The center provides an intellectual environment where people with a diverse mix of skills can collaborate to develop innovative approaches to environmental restoration and protection and to sustainable urban development. The Research Commons in TLB is on the main UWT campus and houses the Office of Research along with other campus offices and centers.
This individual will exercise independent judgment in interpreting and applying University wide rules and regulations associated with research administration and post award grant management. The primary responsibilities include:
• Modify and maintain multiple record keeping and reporting systems for varied and complex sources of funding; develop procedures for grant and contract invoicing including collection of back-up documentation and submission to sponsors;
• Monitor budget status in line with research activities, plans or priorities; assist PIs with oversight of research project budgets, conduct monthly reconciliations, and initiate corrective action, as needed;
• Maintain current cost allocations in Workday for all staff supported by CUW and relevant SIAS budgets in close communication and coordination with individual supervisors and PIs;
• Assist with the development of budgets for grants, contracts, or other funding requests; prepare appropriate forms for contracts and agreements; develop, recommend, and/or establish charge schedules and invoicing for service centers and/or self-sustaining accounts; calculate depreciation and amortization of equipment;
• Working with the Research Administrator and individual PIs, forecast fiscal needs/commitments; and develop long-term planning documents for individual projects.
• Consult with funding agencies to resolve problems and/or obtain approval for deviation from authorized procedures, expenditures, and performance periods;
• Maintain and/or modify manual or automated fiscal reporting/tracking processes to address specific project needs and/or sponsor requirements;
• Assist project PIs with review and submission of quarterly Grant and Contract Certification Reports (GCCR);
• Assist with development, initiation, invoicing, and tracking of project related sub-awards and service agreements;
• Process travel reimbursement requests, invoice vouchers, and individual reimbursements according to UW Travel and Procurement standards;
• Assist PIs and staff with purchase requisitions (including Blanket Purchase Orders, non-POs, and Procard purchases) and monitor payment process working closely with Finance and Administration staff to complete this process. Code, and file receipts and other back-up documentation for various budgets and maintain purchasing records for invoicing processes;
• Attend Office of Research and SIAS administrative meetings and other relevant campus meetings as an Office of Research representative, as needed.
• May direct the work of others;
• Perform duties of Fiscal Specialist I;
• Perform related duties as required.
Requirements:
• Two years of experience at a level equivalent to Fiscal Specialist I AND 15 quarter hours or 10 semester hours of college level accounting, or equivalent education/experience.

• Experience working with a diverse population.
• Ability to develop effective working relationships with faculty, staff, students and other members of the UW and UW Tacoma community.
• Ability to work independently and within a team atmosphere
• Proficiency using Microsoft Office applications and experience performing complex functions (including mail merges and producing reports and charts) using Microsoft Office Suite (Word, Excel and Access).
• Excellent organizational skills
• Detail-oriented
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Desired:
• Bachelor’s degree in business administration, finance, or related field.
