The Department of Mechanical Engineering has an outstanding opportunity for a Fiscal Specialist 2.
RESPONSIBILITIES
Fiscal responsibilities include coordinating fiscal support functions such as purchasing, reimbursements, petty cash, cash transmittals and journal voucher preparation. Other duties include equipment inventory and insurance as well as payroll support.
PURCHASING AND ACCOUNTS PAYABLES (75%)
• Process department purchasing and reimbursement requests with timeliness and accuracy utilizing PurchasePath, ProCard, CTA and ARIBA systems.
• Manage and reconcile the department CTA and ProCard.
• Ensure new vendors signing up with UW electronic billing system.
• Resolve purchasing problems and initiate correction action as needed, including preparation and processing of appropriate forms.
• Communicate with vendors for purchasing quotes and invoices.
• Prepare MyFinancialDesktop transfers for salary and budget corrections, Internal Sales Documents, and other UW-specific forms. Prepare documents for billing and recovery of expenses. Deposit payments and recover charges to appropriate budgets.
• Manage and reconcile petty cash account for review by Grant Manager or Administrator.
PAYROLL AND HUMAN RESOURCES (20%)
• Manage and implement process improvement projects for payroll and other administrative services.
• Participate in Workday trainings and meetings to keep current on Workday changes and current issues affecting payroll.
In conjunction with/back-up to Payroll Coordinator:
• Perform complex analysis on cost allocation discrepancies and errors for corrections.
• Develop and design reports to monitor compensation plan assignment and employee appointment end dates and notify appropriate individuals for updates.
• Manage cost allocation changes for payroll updates.
• Calculate and/or process salary overpayments/underpayments; request special checks, emergency checks.
• Prepare retroactive salary transfers.
• Prepare and reconcile Department monthly payroll report.
INVENTORY AND INSURANCE (5%)
• Manage the mandatory and non-mandatory inventory process through OASIS. Add and remove equipment from OASIS inventory system. Manage surplus of departmental assets.
• Manage insurance process and perform yearly review of insured equipment using EIS. Provide advice to faculty and staff regarding insurance costs and benefits.
MINIMUM REQUIREMENTS:
Two years of experience at a level equivalent to Fiscal Specialist I AND 15 quarter hours or 10 semester hours of college level accounting, or equivalent education/experience.
ADDITIONAL REQUIREMENTS:
• Must possess critical thinking skills.
• Successful experience managing substantial volume of purchasing requests (50+) monthly.
• Demonstrated ability to multi-task, prioritize work and manage heavy workload with frequent interruptions.
Equivalent education/experience can substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
