The Department of Biostatistics has an outstanding opportunity open for a Temporary Program Coordinator.
This is a Full-Time Fixed Duration appointment for April – Dec 2019.
The Program Coordinator provides administrative and program support to the studies managed by the Collaborative Health Studies Coordinating Center (CHSCC) in the Department of Biostatistics. Coordinates the "Events" program for the Multi-Ethnic Study of Atherosclerosis (MESA) by preparing medical records for the study's review committee and acting as a resource for both the off-site coordinators collecting the records and the physicians reviewing them. Provides general program coordination center-wide.
Duties include:
50% Coordinator for the "Events" program for the Multi-Ethnic Study of Atherosclerosis (MESA)
• Receive, label, and log medical records for Events program.
• Run database programs in MS-Access to create reports.
• Prepare, ship, log, track and receive study documents and packages using online tools (FedEx, UPS, US Mail).
• Update and compile Events manuals, including printing, photocopying, and assuring quality.
• Perform filing and maintain filing system.
• Maintain confidentiality of medical records and study participant information
40% General Program Coordination for all CHSCC studies
• Coordinate meetings and conferences: including agendas/announcements, arranging for conference rooms, audiovisual equipment, food/beverages
• prepare FedEx labels, follow-up with appropriate documentation to fiscal team for reconciling fedex charges
• Coordinate travel arrangements as needed; Process travel reimbursement paperwork following UW Travel guidelines as well as following reimbursement procedures of various outside organizations, as appropriate to the specific travel. Process and track reimbursement payments.
• Maintain supply inventory for successful functioning of the Center
• Handle incoming and outgoing campus mail, sign for incoming packages and notify recipients
10%: Serve as a member of the CHSCC Admin Team and other duties as assigned
REQUIREMENTS
High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.
Excellent organizational skills.
Excellent written and oral communication skills.
Ability to meet deadlines.
Fluent in Excel, Access and other MS Office programs in a PC environment.
Working knowledge of web-based content management systems;
DESIRED
Bachelor’s degree and experience working in an academic or research environment.
Experience with UW fiscal tools (especially Ariba)
Previous experience with event planning
Familiarity with medical terminology.
