The Department of Radiation Oncology has an outstanding opportunity for a Grants Coordinator to join our team. Reporting to the Assistant Director of Finance & Grants, this position will assist with pre-and post-ward activities including but not limiting to analyzing and developing budgets for grants & contracts, establishing and maintaining fiscal support documents for payroll, travel reimbursement, and purchasing. In addition, this individual will provide administrative support to research faculty and the executive management team.
Under direction of Assistant Directors of Finance and Grants, this position will perform the following:
Pre-Award: (30%)
•Develop budget within the parameters of the RFA, assist PIs with budget justification and other documents for grants application.
•Prepare cost share calculations, cost share addendums and other required documents related to grants applications
•Review funding announcements received from PIs
•Create application timeline, checklists and communicate with PIs and project personnel
•Prepare application forms according to sponsors’ guidelines
•Ensure compliance with human subjects, animal use and conflict of interests
•Create and route eGC1 via SAGE
•Respond to OSP’s questions regarding application package
•Maintain faculty’s biosketches, effort commitments tracker and other support documents
•Monitor timelines to ensure applications are submitted on-time
Post-Award: (30%)
•Analyze, develop, and maintain monthly budget projection reports
•Reconcile grants budgets on a monthly basis and ensure PIs’ reviews are completed on-time
•Maintain fiscal document electronic files and folders
•Monitor expiring budgets and assist with closeout reporting requirements
•Prepare internal fiscal documents (signature authorization forms, budget folders, etc.)
•Schedule budget meetings for Assistant Director to meet with PI and project personnel
•Monitor cost-share reporting and work with GCA to address unmet cost-share
•Assist PIs with Just-in-time requirements
•Submit request for advance budgets
•Assist with quarterly GCCRs review and approval process
•Assist with semi-annual eFEC review and certification process
Payroll & Fiscal Support: (25%)
•Enter costing allocations for project personnel under Assistant Director’s direction
•Prepare purchase orders and requisitions for grant funded projects
•Prepare travel expense report for PIs and project personnel
•Provide backup fiscal assistance to the department finance team
•Prepare recharge center invoices and maintain recharge center invoice and payment tracking spreadsheets
Administrative Support: (15%)
•Provide administrative support to RadChem and RadBio research faculty
•Provide administrative support to executive and management team
•Maintain GeoSIMS database
•Distribute incoming mails for RadBio lab
Minimum Requirements:
•Two years of experience at a level equivalent to Fiscal Specialist I AND 15 quarter hours or 10 semester hours of college level accounting, or equivalent education/experience.
•Highly organized, quick learner, and must be able to work independent with minimal supervision
•Attention to detail, must be interpersonally adept and be able to work with academic medical faculty
•Excellent written and verbal communication skills
Desired:
•Bachelor’s Degree in finance or business
•Knowledge of federal regulations and UW research policies
•Experience with UW financial and sponsored project systems and work-flows
•Familiarity with all UW systems (SAGE, MyFinancial Desktop, Ariba, Workday)
