The iSchool has an outstanding opportunity for an Informatics Academic Advisor.
The Office of Student Services is an energetic and highly fast paced environment where we rely heavily on current technologies to meet the demands of the School and our constituencies. This position serves as one of two academic advisors to the Information School's Office of Student Services. This position works with other Informatics advisors and the Informatics Program Chair in all areas of development and implementation related to the Bachelor of Science in Informatics (INFO) degree and minor programs, which includes promotion, recruitment, event-planning, records management, academic advising, communications and student services.
Additionally, this position works closely with the Student Services staff to provide support for Information School's joint activities such as the all iSchool Welcome, Convocation and iSchool Career Fair, as well as assist with supporting the other degree programs (i.e. Masters in Library and Information Science (MLIS), Master of Science in Information Management (MSIM) and PhD in Information Science). The Academic Advisor will work closely with the Program Chair and additional informatics staff in managing all aspects of the degree and minor programs, faculty, staff, students, as well as prospective students, alumni and employers. In addition, the Academic Advisor is asked to assist with or take a leadership role in planning Student Services projects that are for the entire School, including but not limited to career fairs, orientations, study breaks, and convocation ceremonies. The Academic Advisor for our INFO program is expected to meet with executive level individuals both internally and externally.

RESPONSIBILITIES:
General Academic Advising and Program Management (50%)
• Provide academic advising to current and prospective Informatics students including: major options, requirements, transfer, admissions, career choices, financial resources, and university policies and procedure.
• Attend to needs of special populations (e.g., students with disabilities, ESL, etc.)
• Counsel students with academic difficulty regarding options and resources. Refer students as necessary to appropriate campus or community resources.
• Advise students on procedures in matters of misconduct. Consult with Director of Student Services, the Associate Dean of Academics, faculty, and the UW Office of Community Standards and Student conduct as needed.
• Manage Informatics Peer Advisors including selection, training and on-going evaluation.
• Support iSchool student organizations’ (e.g., IUGA, WINFO, activities and initiatives as appropriate.
• Oversee iSchool Informatics scholarship selection process in coordination with Program Chair, iSchool Advancement and Director of Student Services.
• Assist with review of graduation applications to verify degree requirements for Informatics students. Evaluate petitions and exceptions requests. Resolve routine requests as needed. Consult with program chair and associate dean for academics as appropriate.
• Take lead in monitoring UW and iSchool satisfactory progress (continuation) policy and prepare documents for probationary action by Associate Dean for Academics when necessary.
• Facilitate independent study and internship requests for students.
• Coordinate with the Career Services Advisor to provide information on internship and career opportunities for Informatics students.
• Refer INFO students to appropriate faculty, as necessary, for answers to advanced career development questions related to the field/discipline.
• Other duties as assigned by the Director of Student Services.
Recruiting and Admissions for Informatics Degree and Minor (20%)
• Collaborate with Information School Admissions Counselor and Informatics Advisor Lead to recruit prospective students, including coordinating and participating in information sessions, recruiting fairs, web chats, etc.
• Advise prospective students on the program, the discipline, and the application process.
• Collaborate with academic units across the UW to promote informatics.
• Serve as Informatics Program primary liaison to Robinson Center, Honors Program and UW Undergraduate Admissions.
• Serve as primary liaison to Professional Organizations related to Informatics.
• Coordinate advising recruiting activities for the Informatics Program to prospective students in High Schools, as well as Running Start/early start programs.
• Act as lead for Freshmen Direct Admit Program (FDAP).
• Participate on the INFO Admissions Committee.
• Make recommendations to the Director of Student Services and the Director of Communications for new publichats projects that benefit the INFO program.
• Assist with iSchool Graduate Program recruitment activities as requested.
Event Planning (15%)
• Plan information sessions, workshops or other events to support the needs of Informatics students and minors.
• Assist in planning Student Services Activities including Open Houses, all iSchool Welcome, iWelcome Week, iSchool Career Fair, Study Breaks , Student Leadership Retreat and Convocation.
• Act as lead and take primary role for facilitating the planning of at least one school-wide Student Services event per academic year.
• Work with IUGA to ensure scheduling of periodic Town halls with Program Chai and other iSchool Administration as appropriate.
• Work with career services advisor in planning career development workshops and employer meet-the-firm/library/organization events.
• Collaborate with Informatics Advisor Lead to schedule and facilitate INFO new student orientations. Participate in UW summer orientation programs.
Communication and Information Dissemination (15%)
• Serve on INFO Program Committee.
• Act as primary Informatics liaison with Academics Team in planning course schedule and updating curriculum changes.
• Assist in administering the various INFO email listservs, used to disseminate information to INFO students, as well as contribute to the other Student Services communication efforts.
• Help maintain accurate information for the INFO web pages.
• Update iSchool faculty, staff and students on University and School policies and regulations as needed.
• Participate in School and University-wide committees as appropriate.
• Write and disseminate material to assist students in making informed decisions and/or explain University policies and procedures
LEAD RESPONSIBILITIES
Hire, supervise and train 5 to 7 Peer Advisers. Lead the work of Informatics/MSIM Program Coordinator as it relates to the Informatics Program.
POSITION COMPLEXITIES
The Informatics Academic Advisor regularly exercises discretion and independent decision-making authority. This position represents the Information School and its two hundred and eighty undergraduate students to the greater undergraduate advising community across the campus.
The position requires the ability to work in an intense, dynamic, and sometimes stressful environment. The position involves quickly determining priorities while “multi-tasking” – juggling a number of activities at the same time. This position requires a flexible work schedule, with occasional weekend and evening hours, and the need to travel for student recruitment activities.
IMPACT TO THE UNIVERSITY
The person in this position plays a central and crucial role in the success the Information School’s undergraduate program, Bachelor of Science in Informatics. This person is expected to increase the effectiveness of our Office of Student Services and is key to ensuring that the Information School complies with Federal, State and University policies and procedures. The Informatics Academic Advisor impacts the School’s ability to enhance the quality and quantity of applications to our undergraduate program and oversees the progress of our over 400 undergraduate students, informatics minors, as well as prospective informatics students, providing them with guidance as they navigate the University to graduation and then proceed into the workforce as representatives of the high quality education received at the University.
REQUIREMENTS:
• Bachelor’s degree in Informatics, Communication, Social Science, Education, English or related field.
• Minimum two years of experience in student advising or teaching, or equivalent education/experience.
• Experience in program planning and management, preferably in student services.
• Demonstrated excellent communications, planning and information technology skills.
• Demonstrated success in working with diverse populations.
• Ability to work independently, as part of a team, and to lead others.
• Excellent communications skills with both the ability to be articulate and present well in writing, verbally, and via technology.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED EXPERIENCE
• An advanced degree in Higher Education Administration, Information Management or related field.
• Experience using UW systems such as Electronic Advising Records System (EARS) / Degree Audit Reporting System (DARS) and Keynes Student Database (SDB).
• Familiarity with UW policies and procedures.
• Knowledge of Microsoft Office products including SharePoint and Access.
• Familiarity with Canvas or equivalent learning management systems.
• Familiarity with Symplicity Career CRM or similar software
• Familiarity with UW undergraduate policies and procedures.
• Familiarity with video/web conferencing technology such as Zoom, Adobe Connect or Skype for Business.
