UW Medicine’s Information Technology Services (ITS) department is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center – Montlake Campus (UWMC - Montlake), UW Medical Center – Northwest Campus (UWMC - NW), Valley Medical Center (VMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM), and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children’s University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research and Seattle Children’s). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all of these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission. ITS is funded by the entities it supports.
Working under the direction of the Assistant Director of Finance and Accounting, the IT Project Accountant ('Accountant') is responsible for a wide range of budgeting, accounting, and analyses for major information technology projects.
This position is expected to work independently and use knowledge of and experience with IT project accounting while exercising discretion and independent judgment to ensure program success. Maintains accounting controls, policies and procedures for sound financial management of the ITS Project Portfolio. Provides advice and recommendations for systems, processes, and reports to ensure accurate timely financial tracking of major projects to ITS leadership, project internal and external oversight boards.
The Accountant must work with people throughout UW Medicine and other University of Washington organizations. The incumbent will have contact with all levels of management on an occasional basis as related to specific financial concerns. This position will work cross-functionally with team members from IT Administration, medical center accounting offices and ITS project managers.
The incumbent will be responsible for developing and maintaining successful partnerships, managing relationships, communicating, and working effectively within and outside of ITS to include, but not limited to:
UW Medicine Accounting and Finance offices
UW Contracts and Purchasing departments
UW Information Technology (UW-IT)
UW Medicine Auditors
ITS Finance and Administration staff
ITS Project and Program Managers
Responsibilities include:
Financial Reporting and Analyses (50%)
Prepares monthly project accounting reports for IT Services, project sponsors, and UW Medicine leaders; including labor, capital and expense accruals as needed.
Works with UW Medicine Accounting to reconcile project costs between the entities as needed for the annual financial audit.
Assists in preparation of budget vs. actual project reports and explains budget variation as needed by ITS leadership, project managers and other customers.
Identifies project financial trends, issues and concerns; analyzes alternatives; interprets, recommends, and implements solutions.
Provides qualitative and quantitative data regarding project financial performance to the Project Managers and ITS leadership.
Prepares journal entries for internal labor, expense accrual adjustments, project asset capitalization, and project asset write-offs.
Budget and Forecast Development (20%)
Works closely with IT project management, department directors, and administrative staff to develop and update project budgets for the IT Project Portfolio.
Prepares project cost estimation and initial budget (operating and capital) for major IT projects.
Performs financial analysis as needed including Net Present Value (or other approved financial measures).
Develops capital and expense forecasting.
Provides input into to the fiscal year planning process.
Tracks actual to forecast to date, variances, and projections.
Accounting Management (10%)
Works closely with ITS Finance & UW Medicine Accounting to ensure that project financial systems integrate with department financial operations.
Calculates accruals for major project orders each month and provides updates to ITS Finance for submittal to UW Medicine Accounting.
Maintains IT project accounting processes to ensure accurate and timely project reporting.
Ensures accounting records are maintained in accordance with GAAP, as well as per UW and UW Medicine regulations and policies.
Accounting Practices and Controls (10%)
Maintains accounting practices and controls for sound financial management in accordance with GAAP of the IT Project Portfolio.
Incorporates policy from UW Medicine Financial organizations regarding standard accounting practices.
Works closely with UW Medicine Finance and Accounting departments to ensure standard practices and procedures are used by all entities whenever possible. Updates and manages model to calculate and report on individual project and Project Portfolio
Incorporates direction from UW Medicine Accounting regarding use of capital funds.
Maintains and recommends methods and tools to ensure proper classification/coding of operating and capital purchasing transactions for major IT projects within the department.
Teaches/trains Project Managers on project financials tracking and fit with the other project constraints of time, phases, and quality/scope.
Time Reporting Management (10%)
Transfers capital labor to appropriate project budgets monthly.
Reviews internal labor charges and reconciles static financial budget charges with actual time tracking reporting.
What you’ll bring to the table: (minimum requirements)
Bachelor's degree in Accounting, Finance, or related field or equivalent combination of education/experience.
3+ years experience must include the following:
3+ years’ experience with capital project and job cost accounting and accounting systems development and maintenance.
3+ years’ experience with accounting processes and controls for complex, enterprise organizations.
3+ years’ experience developing budgets.
Experience in presentation of financial materials to a diverse audience which represents all levels of an organization.
Demonstrated knowledge and application of financial tools for tracking projects.
Demonstrated ability to coordinate project accounting and control policy and participate in implementation processes.
Experience identifying process improvement opportunities and being part of the team implementing improvements.
Experience facilitating meetings and making presentations related to accounting practices, controls and project financial performance to high level management audiences.
Must possess advanced skills with MS Excel and data management.
Proficiency with MS Office tools such as Outlook, Word and PowerPoint.
Successful candidates must also possess/be:
Understanding of the principles, practices and controls of project accounting.
Possess excellent verbal and written communication skills to communicate effectively with staff, clients, managers and executive management.
Detail oriented with strong analytical skills.
Proven strong customer service orientation.
Demonstrated ability to forge effective partnerships with diverse business partners.
Ability to collaborate effectively with diverse levels of personnel from Director to clerical levels with sensitivity in a multi-cultural environment.
Ideally, you’ll also have: (desired skills and experience)
CPA designation.
Auditing experience.
Experience with financial and accounting within an IT organization.
Healthcare industry experience.
