Our Laboratory Medicine department has an outstanding opportunity for a full-time (100%) Laboratory Operations Manager - Virology. Under general direction from the Division Administrator, the person in this role is responsible for overseeing the day-to-day administration of all non-scientific Laboratory operations to ensure the smooth operation of the laboratories. An understanding of the overall mission and objectives of the division is essential, as well as a clear understanding of how the infrastructure and support services of the Laboratory and the Virology Division must be aligned to maximize the achievement of these goals.
This highly visible Laboratory Operations Manager requires a high degree of autonomy, personal initiative, professionalism, flexibility and independent judgment under sometimes stressful conditions. The employee in this position must have working knowledge of laboratory operations and processes as well as excellent written and verbal communication skills.
Within the Laboratory program:
Operations. Oversee services supporting the Laboratory operations, including:
- Facility and building maintenance support. Oversee facility and building maintenance services provided within the Laboratory. Liaise between vendor contacts and laboratory personnel.
- Space and equipment analyses. Collect and analyze data for maintenance and utilization of laboratory facilities.
- Computer support. Coordinate computer support for the Laboratory provided by outside organizations for server and desktop computers (external), as well as support for network and Laboratory Information System (LIS) (UW and Laboratory Medicine IT).
- Temperature monitoring system. Develop, implement and manage internal procedures for the temperature monitoring system within the Laboratory. Serve as the primary point of contact for communication between the system vendor technical support and laboratory personnel.
- Equipment maintenance. Monitor and schedule periodic maintenance (PM) for all laboratory equipment managed by UW Scientific Instruments.
- Record maintenance. Manage record shredding and archiving services through Iron Mountain.
- Coordinate student and trainee rotations within the laboratories. Communicate with and schedule rotations for students, Lab Med Residents, and Fellows within the Laboratory.
- Manage Work Study student assistant program. Recruit, screen, interview and hire undergraduate students for student assistant positions.
Procurement. Collaborate with Virology administration and laboratory personnel to oversee acquisition of laboratory equipment and supplies to capture bulk discounts, preferred vendors and suppliers, and standardize equipment purchases and maintenance contracts, including meeting and negotiating with sales representatives to address Laboratory needs. Manage review and strategic planning for equipment upgrades and replacement.
Regulatory Affairs & Compliance. Monitor Laboratory projects to ensure compliance with institutional, federal, state, and local policies and regulations. Assist the laboratory’s research scientists in collaboration with Virology administration to address compliance issues in accordance with laboratory audits (CAP, outside contracts, and/or FDA) and accreditation. Oversee Quality Assurance activities of clinical research projects within the laboratory including document control process and standard operating procedures.
Organizational Development. Work closely with the Laboratory managers and Virology administration to create staffing plans and benchmarks to ensure appropriate staffing levels. Develop and maintain monitoring tools and reports that provide appropriate indicators of performance. Plan annual quality improvement projects. Oversee development of special reports for program development.
Financial. In consultation with Virology administration, approve operational and capital expenditures, analyze financial data, prepare statistical and budget reports, and make recommendations and/or take appropriate corrective action.
Requirements:
Bachelors degree in the Health Sciences or equivalent field AND two years of relevant laboratory experience OR equivalent education/experience.
Additional Requirements:
- Strong communication skills (written and verbal). Ability to communicate in a diplomatic, friendly, yet effective manner with representatives and various colleagues both internal and external to the Laboratory.
- Moderate to excellent proficiency in Microsoft Office products including Word, Excel and Access.
- Proven organizational skills with the ability to work well in a fast-paced and demanding environment, and be able to balance multiple, competing priorities.
- Foster collaboration among staff and establish a cohesive environment in which everyone can share ideas and needs in an open, trusting manner, making it easy for employees to disagree or offer contrasting points of view.
