Health Sciences Administration has an outstanding opportunity for a Manager of IT Systems.
Reporting to the Assistant Director, the person in this role will provide system, database and applications support; work in direct collaboration with HSAS&F units to support and leverage the departments systems and applications for operations; conduct business analysis, and support change management in the Health Sciences Academic Services and Facilities; coordinate with Center for Shared Services (CSS) to ensure and communicate services related to servers performance and maintenance; and provide end-user support.
This person also has the ability to see the big IT picture for the entire department, driving strategic efforts to proactively resolve foundational issues for the department’s systems, and ensuring that the systems in place can successfully support the implementation of the department’s values and goals.
RESPONSIBILITIES:
IT Strategy & Planning:
•Develop methods/procedures/systems for managing HSAS&F departmental IT systems, delivering consistency and transparency across all of them.
•Analyze departmental IT systems, dependencies and integration points with each other and with external IT systems, identifying gaps and opportunities for improvement.
•Implement tools and methods to assist the Director’s Office in achieving the department’s strategic goals and mission.
•Liaise and coordinate with CSS and UW-IT for campus-level IT-related initiatives and projects for monitoring impact to HSAS&F and remaining proactive.
•Monitor, identify and prioritize IT projects for HSAS&F to minimize negative impact to the department’s reputation/brand or operations.
•Ensure IT security practices, procedures and systems are implemented for HSAS&F in accordance with UW-IT guidelines and best practices.
Systems & Applications Support:
•Systems and applications administration, including response to user needs by refining and developing the systems and applications to support services.
•Manage data cleanup efforts; develop systems and applications maintenance plan to ensure ongoing data integrity. Conduct regular monitoring of systems and applications outputs for integrity and error identification.
•Work with partners to ensure systems and applications back up is secure and conducted on a documented regular schedule.
•Manage and coordinate systems and applications upgrades with external vendors.
•Assist in the requirements gathering, development, and testing of systems and applications interfaces.
•Perform problem resolution including analysis and troubleshooting for system and application issues.
•Become the subject matter expert for HSAS&F systems and applications.
Business Reporting, Analysis and Collaboration:
•Create and maintain internal and external reports, to the extent possible, to meet HSAS&F staff and client needs.
•Collaborate with units to understand business and operational processes, and provide guidance for re-engineering business processes and workflows to optimize HSAS&F systems and applications.
•Create and measure success metrics for systems and applications support; collaborate with units to use systems and applications reporting to measure unit specific success metrics.
•Coordinate change requests and incident tickets, including tracking and prioritization of change requests/tickets, as well as issue tracking with vendor.
•Set appropriate expectations of customer requirement fulfillment
•Assist with documenting current and proposed work flows.
•Provide internal training for new staff, primarily with the TMA system.
Department Security:
•Create and maintain documentation as necessary for systems and applications operational and quality assurance.
•Establish new users, technicians, and manage Group access levels and privileges and reset passwords.
•Maintain a separate systems and applications, production and test environments, in support of maintaining data integrity.
•Act as quality assurance liaison between data, applications, systems, developers, and the end users to ensure data validity and resolve discrepancies.
•Act as a liaison and/or facilitate communication between end users, CSS and IT Services systems.
•Document systems and applications and business requirements.
Systems & Applications may include, but not limited to: WebTMA, PurchasePath, WooCommerce, 25Live, Certmaker, Genbook, Onmigo, Reporting Services, and Keys database.
REQUIREMENTS:
•Bachelor's Degree required; equivalent experience may substitute for degree requirement
•Two years of work experience, dealing with SQL, Reporting Services, Database Maintenance
•Good communication skills
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED EXPERIENCE
•Familiar with TMA System, systems security administration, and process/workflow improvement techniques
