The UW Finance Transformation Program (UWFT) is a $200M initiative to replace the University’s financial systems with an integrated system to manage the full suite of financial transactions and reporting needs in the UW system – to include academic, administrative, and healthcare. UWFT will fundamentally change the processes and tools that the University employs to track, spend, collect, manage, and report University finances in excess of $7B in annual revenues, resulting in more timely and actionable information for leadership. Among the UW’s highest administrative priorities, this multi-year initiative is one of the largest finance system projects in Washington State and the outcome of the program will be highly visible at all levels of the University and the state.
The UWFT initiative has an outstanding full time opportunity for an Organizational Change Management Lead to play a key role in the implementation of the financial and supply chain ERP (Enterprise Resource Planning) modules including the modernization of related business processes throughout the institution.
The Organizational Change Management Lead will play a key role in ensuring that the UWFT Program is understood and accepted at UW by an array of affected constituents ranging from daily to occasional users of the system, to other stakeholders who may raise questions or concerns regarding this effort, its associated costs, and outcomes / benefits. The Organizational Change Management Lead will partner with the Unit Readiness Director and team to focus on the people side of change, including changes to business processes, systems and technology, job roles, and organizational structures. This position is responsible for overseeing the Change Management and Training efforts of the Finance Transformation program to ensure that users are notified, engaged, and prepared to transition to the new system. This position is responsible for defining and implementing change management plans that maximize employee engagement to ensure successful adoption and transition to the new system, roles, and processes. A primary focus will be partnering with the Unit Readiness team in working with and coaching unit-level leaders and teams to ensure that units maximize buy-in and minimize resistance and are able to leverage the UWFT change management framework and standards. Additionally, this position will be responsible to ensure that all documentation coming out of the program is in line with the ultimate change management strategy and plan.
RESPONSIBILITIES:
Develop and Execute Change Management Strategy & Plans
• Develop and execute a comprehensive, actionable, and targeted change management plan around changes to people, processes, and systems; apply a structured approach and methodology for people-side change including stakeholder analysis, coaching plans, communications, training, and resistance management plans
• Work closely with Program leadership team and Unit Readiness team to ensure change management strategy is included in program activities, and that impact to the University is considered continually to minimize stakeholder resistance
• Participate in business process workshops to understand the current and future state business processes; assess the change impacts on the organization and roles
• Support organizational design: understand the current organization and roles, the future state operating model and help to design the new business organization structure, and map roles to the new structure; realign policies to the new design engaging HR leadership and stakeholders as needed to support the organizational transition and alignment with policy
• Partner with the Program Leadership and UW Labor Relations to develop a strategy and execute upon a plan related to communication and engagement with the Labor Unions.
Stakeholder / Change Network Coaching and Engagement
• Provide subject matter expertise and guidance on the management of employee changes by advising/coaching organizational change specialists and unit-level leaders and managers (network of change champions) on the execution of established change management activities (e.g., communications / championing the process and system change, education and training, post go-live support, etc.)
• Coordinate with other resources in central administration to provide assistance to unit-level leaders and managers in defining checklists and approaches for realizing cost and efficiency savings within their units
• Coordinate with Communications Lead to make sure that Change Management, Communication and Training are well coordinated and support each other
• Partner with the Unit Readiness Team to identify potential people-side risks and anticipated points of resistance, and develop mitigation plans to address the concerns
Strategic Team Leadership
• Partner with the Unit Readiness Director to manage, delegate, and prioritize the workload for the staff to include Unit Readiness Leads, Technical Change Managers, Communications Specialists, Analysts and Training and Instructional Design Specialists.
• Work with staff to develop plans and activities to support the people-side change; support communication and training efforts at the units
• Partner with functional project team members to ensure change management staff are well informed of system design, capabilities and impacts; integrate change management activities into their project plans
• Build team capacity and competencies by working with existing UW organizations to leverage Lean, Professional Organizational Development and other internal resources as well as hiring external resources
• Partner with Unit Readiness Leads to develop tools that the units can use to for effective planning, communication, change management and training within their units.
Readiness Assessment and Measurement
• Work with Unit Readiness Team to determine measures and metrics
• Conduct readiness assessments, evaluate results, and present findings in a logical and easy-to-understand manner to sponsors and stakeholders
• Create and manage measurement systems to track adoption, utilization, and proficiency of individual changes, and adjust change management strategies and tactics as necessary
Other Duties As Assigned
• The UWFT program will continue to evolve and UWFT Change Management Lead will be responsible for taking on other special projects as assigned by the Program Leadership.
REQUIREMENTS:
-Bachelors Degree and minimum of 5 years of experience with both theoretical and practical aspects of establishing and implementing organizational change management and employee support in an enterprise project context
-Experience and knowledge of change management principles, methodologies, and tools (e.g., stakeholder analysis, change impact assessment, role mapping, organization design, readiness assessment, resistance management, etc.)
-Analytical skills required to measure and assess the impact and effectiveness of change management activities, and to recommend and execute improvement actions
-Excellent communication skills – both verbal and written, including active listening and the ability to clearly articulate messages to a variety of audiences
-Strong group facilitation skills with demonstrated experience turning working session notes into high-quality deliverables
-Demonstrated ability to effectively lead, supervise and delegate staff in a deadline driven environment
-Ability to collaborate with senior leadership on change management matters
-Ability to influence others and move toward a common vision or goal
-Strong interpersonal skills to establish and maintain positive working relationships with a wide array of stakeholders, colleagues, and staff
-Demonstrated ability to work independently and as a member of a team; ability to work collaboratively with and through others
-Ability to conform to shifting priorities, demands, and timelines within a fast-paced environment
-Strong business acumen and understanding of organizational issues and challenges
-Strong organizational problem solving and root cause identification skills
-Strong customer focus and excellence in relationship management with key partners
-Demonstrated excellent written/oral communication skills, technical documentation skills, user liaison skills, and personal interaction abilities
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
